Job Description: Human Resources Specialist

Reports to: Human Resources Manager FLSA Status: Full-time, Hourly

Summary:

The Human Resources Specialist works ON-SITE under the supervision of the Human Resources Manager and provides comprehensive administrative and operational support for SourcePoint's human resources functions. This position is responsible for payroll administration, employee onboarding and offboarding, benefits coordination, personnel record management, preparing reports, providing internal customer service, and ensuring employee compliance with organizational policies. The Human Resources Specialist plays a key role in fostering a professional image of SourcePoint and promoting positive relationships with employees, applicants, volunteers, and external partners.

Essential Job Functions:

Payroll Administration

Coordinate and process bi-weekly payroll.

Review timesheets for completeness and accuracy, including paid time off, holiday pay, overtime, and payroll adjustments.

Process employee status changes including merit increases, transfers, and compensation changes.

Prepare payroll reports and supporting documentation for the Accounting.

Maintain payroll records in accordance with organizational policies and legal requirements.

Benefits Administration Assist in coordinating employee benefit programs including medical, dental, vision, life insurance, flexible spending accounts, retirement plans, and voluntary benefits. Assist with reviewing and processing of invoices from benefit vendors and other HR service providers.

Assist with annual open enrollment.

Employee Onboarding and Offboarding Coordinate interview scheduling, job postings, and applicant communication.

Coordinate all pre-employment and onboarding activities for new employees.

Prepare new hire documentation and ensure completion of all required employment paperwork.

Schedule and monitor criminal background checks, fingerprinting, database checks, and other required pre-employment screenings.

Coordinate new employee orientation.

Order employee name badges, business cards, and other onboarding materials.

Process employee separations through HR systems and ensure completion of required offboarding documentation.

Coordinate final payroll and benefit termination activities.

HR Operations and Continuous Improvement

Maintain confidential personnel files and HR records.

Track required employee training, certifications, and compliance deadlines.

Identify opportunities to improve HR processes and administrative efficiency.

Assist with audits by gathering and organizing required documentation.

Assist with HR reporting and special projects.

Support employee engagement initiatives, recognition programs, and staff and volunteer events.

Qualifications:

Proficiency with Microsoft Office and the ability to learn database systems.

Knowledge of payroll processing principles and practices.

Excellent written and verbal communication skills.

Strong customer service and interpersonal skills.

Exceptional attention to detail and organizational skills.

Discretion in handling confidential information.

Ability to manage detailed records and multiple priorities.

Ability to work independently and collaboratively.

Education & Experience:

Minimum of associate's degree in human resources, business administration, or a related field, or an equivalent combination of education and relevant experience required. Bachelor's degree preferred.

Two years experience in human resources, payroll processing, and benefits administration (preferred).

Essential Physical Requirements/Working Conditions:

Ability to remain in a stationary position, often standing or sitting for extended periods.

Must be able to lift up to 15 pounds occasionally.
