Job description

The P J Dick-Trumbull-Lindy Group family of construction companies seeks to hire a Administrative Assistant/Receptionist to join its growing support team.

PRIMARY FUNCTION:
Assist the Accounting group by ensuring invoices are being properly routed to the appropriate Admin for processing.

TYPICAL DUTIES:

  1. Review and sort a high volume of invoices from Vendors on a daily basis
  2. Assistant in maintaining vendor records
  3. Contact vendors to verify banking information
  4. Review monthly statements to determine missing invoices
  5. Assist in verifying basic invoice details
  6. Primary backup to the Receptionist which includes:
    Answer, screen, and forward any incoming phone calls
    Receive packages, letters, etc., as required and sign for parcels when necessary.
  7. Perform other clerical support duties, such as typing memos, letters and listings, complete external mailings, etc..
  8. Perform additional assignments per supervisor's direction.

SKILLS, KNOWLEDGE, QUALIFICATIONS AND EXPERIENCE:

  • High school diploma or equivalent.
  • Some Accounting experience preferred.
  • Organization, communication and interpersonal skills along with a customer service attitude, pleasant demeanor and professional appearance are required.
  • Proficiency with computers, specifically Microsoft Office applications, and basic typing skills required.
  • Experience in a professional office setting a plus but not required.

COMMENTS:
Entry-level position. Non-exempt under FLSA. Remote work is not an option.
