Job description

POSITION SUMMARY
The Non-Emergency Medical Transportation (NEMT) Scheduler is responsible for receiving, reviewing, entering, and coordinating transportation requests for Go Ride's contracted facilities, healthcare providers, and other authorized partners throughout the state of Louisiana.
The Scheduler serves as a primary point of contact for facilities and providers requesting transportation and is responsible for ensuring trips are entered accurately, scheduled appropriately, and communicated to the Operations team. This position requires strong attention to detail, organization, customer service, and the ability to manage multiple transportation requests in a fast-paced environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Trip Scheduling & Coordination
  • Receive transportation requests from contracted facilities, healthcare providers, and other authorized sources by phone, email, portal, or other approved communication methods.
  • Schedule non-emergency transportation trips for eligible riders throughout Louisiana.
  • Accurately enter all trip information into the company's scheduling/transportation management system.
  • Verify required trip details, including:
    -Rider name and identifying information
    -Pickup and drop-off locations
    -Appointment date and time
    -Requested pickup or return time
    -Mobility and transportation requirements
    -Wheelchair, ambulatory, or other applicable transportation needs
    -Facility/provider information
    -Escort or additional passenger information when applicable
    -Special instructions or accommodations
  • Schedule recurring and standing-order transportation when authorized.
  • Review scheduled trips for completeness and accuracy.
  • Identify scheduling conflicts, duplicate trips, missing information, or other potential issues before trips are finalized.
  • Make scheduling adjustments when appointments, pickup times, destinations, or transportation needs change.

Facility & Provider Communication
  • Serve as a professional point of contact for Go Ride's contracted facilities and providers.
  • Respond to scheduling inquiries and transportation requests in a timely and professional manner.
  • Contact facilities or providers when additional information or clarification is needed to properly schedule a trip.
  • Communicate trip confirmations, changes, cancellations, or scheduling concerns as appropriate.
  • Maintain positive and professional working relationships with facility and provider representatives.
  • Escalate service concerns, complaints, or unusual transportation requests to management when appropriate.

Coordination with Dispatch & Operations
  • Maintain clear communication with the Dispatch and Operations teams regarding scheduled transportation.
  • Ensure dispatchers have accurate and complete information necessary to coordinate daily transportation.
  • Notify Dispatch of significant same-day additions, cancellations, changes, special accommodations, or other information that may affect transportation operations.
  • Assist in identifying scheduling concerns that could affect route efficiency, vehicle availability, driver coverage, or on-time performance.
  • Work collaboratively with Dispatch while maintaining the distinction between advance trip scheduling and real-time dispatch operations.
  • Follow established procedures for transferring scheduled trips to Dispatch for daily execution.

Documentation & Compliance
  • Maintain accurate and complete transportation records.
  • Follow Go Ride policies and procedures regarding rider information, confidentiality, and documentation.
  • Protect confidential and sensitive rider information and follow applicable HIPAA/privacy requirements.
  • Document trip changes, cancellations, communications, and other relevant information in the appropriate system.
  • Follow contractual requirements and scheduling procedures established for individual facilities and providers.
  • Report recurring scheduling issues, inaccurate requests, service concerns, or potential contractual issues to management.

  • Ability to work effectively with facilities, providers, dispatchers, drivers, management, and other members of the Operations team.
  • Ability to maintain confidentiality and appropriately handle sensitive rider information.

MINIMUM QUALIFICATIONS
  • High school diploma or GED required.
  • Previous customer service, scheduling, call center, healthcare, transportation, or administrative experience preferred.
  • Previous NEMT, medical transportation, healthcare scheduling, or transportation coordination experience is highly desired
  • Basic computer proficiency, including email, data entry, and web-based systems.
  • Ability to learn Go Ride's scheduling software, communication systems, and contracted provider requirements.
  • General familiarity with Louisiana cities, parishes, and geographic areas is preferred.
