Job description

The Litigation Docket Clerk provides administrative and operational support to the company's in-house Legal Department by maintaining case calendars, tracking litigation deadlines and communicating such to internal and external stakeholders, , and managing legal documents and files. This position serves as a key resource for litigation support and requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Docketing & Calendar Management
  • Accurately enter and maintain court filings, orders, case correspondence, and other litigation-related information in the company's docketing database.
  • Calculate and calendar deadlines in accordance with federal, state, and local court rules'.
  • Track case deadlines, hearings, conferences, trials, and other upcoming appearances.
  • Generate and maintain docket reports to ensure deadlines and case activities are accurately recorded and monitored.

Case Monitoring & Support
  • Notify responsible attorneys and operational leaders of new filings, orders, deadlines, and other case-related updates, and follow-up to ensure compliance with deadlines.
  • Receive, review, process, and distribute litigation-related mail, court notices, and legal correspondence.
  • Coordinate with internal departments to obtain documents, records, and other case materials.

Litigation Administration
  • Draft routine correspondence and communications related to contractual indemnification obligations, including communications with clients, outside counsel, and insurance carriers.
  • Maintain electronic case files to ensure accuracy, accessibility, and compliance with department procedures.
  • Monitor and manage the department's shared email inbox and route assignments to appropriate team members.
  • Assist with legal holds, records management, document collection efforts, and other litigation support activities.
  • Support department initiatives, special projects, and other duties as assigned.

  • High school diploma required; Associate's degree, Bachelor's degree, Paralegal Certificate, or related coursework preferred.
  • 1-2 years of experience in a legal, administrative, records management, customer service, or professional office environment preferred.
  • Ability to manage multiple requests, prioritize competing tasks, and consistently meet court-imposed and internal deadlines.
  • Strong organizational skills and exceptional attention to detail, with a commitment to producing accurate, high-quality work.
  • Strong written and verbal communication skills, including the ability to draft professional correspondence and interact effectively with attorneys, court personnel, clients, insurance carriers, and business partners.
  • Basic analytical and problem-solving skills, with the ability to identify potential issues and escalate them appropriately.
  • Ability to learn and apply court rules, legal terminology, docketing procedures, and filing requirements. Familiarity with litigation processes is a plus but not required.
  • Ability to work independently and collaboratively in a fast-paced, deadline-driven environment while maintaining professionalism and composure under pressure.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams; experience with document management or docketing systems is a plus.
  • Ability to maintain confidentiality, exercise sound judgment, and demonstrate a strong sense of accountability and follow-through and customer service.
