Job description

Training: CPI required within 90 days of hire or transfer. Completion of Lean Six Sigma Green Belt Certification (or higher) within 1 year of hire to support process improvement and quality initiatives.

This role offers opportunities for professional growth through expanded responsibilities, leadership in quality improvement initiatives, and attainment of certifications such as Lean Six Sigma, CPHQ, and CAPM. While future titles may depend on organizational structure, the incumbent will be supported in skill development and career progression planning.

POSITION SUMMARY

The Hospital-Based Behavioral Health Systems Coordinator serves as a central operational support resource for hospital-based behavioral health programs, including Recovery Team, Bridge Clinic, PIP Crisis Screening, 1-Pines, HVIP (Hospital Violence Intervention Program), and Arrive Together initiatives. This role ensures seamless communication, data integrity, supply management, and process consistency across programs, strengthening integration and improving patient care coordination. The Coordinator supports reporting, compliance, onboarding, inventory control, budget monitoring, and administrative tasks for the Director aligned with Joint Commission, Department of Health, DMHAS, and hospital standards. This is not a leadership role, but a critical support position that ties programs together for operational excellence. The coordinator also works to strengthen collaboration with the Emergency Department (ED) and other internal stakeholders.

This position supports organizational goals by providing quality customer service, participating in performance improvement efforts and demonstrating commitment to team work and cooperation.

Duties and Responsibilities:

  • Act as the primary link between all hospital-based behavioral health programs (Recovery Team, Bridge Clinic, PIP Crisis Screening, 1-Pines, HVIP, Arrive Together).
  • Facilitate interdepartmental meetings, share updates, and resolve operational gaps.
  • Maintain shared workflows and communication pathways to ensure consistency across programs.
  • Conduct Environment of Care rounds and ensure regulatory standards are met.
  • Collect, analyze, and maintain program data for quality metrics, regulatory compliance, and performance dashboards.
  • Generate and distribute monthly, quarterly, and ad hoc reports for leadership and state agencies.
  • Monitor trends and identify opportunities for improvement; troubleshoot data discrepancies.
  • Assist with audits, surveys, and corrective action plans; maintain readiness documentation.
  • Aid with staff onboarding & support.
  • Support employee relations efforts within the departments by helping improve communication, culture, and workflow satisfaction.
  • Order and maintain supplies for programs; ensure adequate stock for clinical and administrative needs.
  • Track inventory levels, reconcile discrepancies, and coordinate with vendors and hospital supply chain.
  • Track and review program budgets for accuracy and compliance; monitor variances.
  • Assist with expense reporting and purchasing workflows; escalate anomalies to leadership.

  • Manage calendar coordination, meeting logistics, correspondence, and special project tasks at the Director's direction.
  • Prepare materials, take notes, and coordinate follow-up actions across programs.
  • Identify inefficiencies and recommend standardized procedures to enhance integration and throughput.
  • Develop and implement initiatives to improve patient experience across programs.
  • Support quality improvement projects and assist in implementing best practices across programs.

QUALIFICATIONS

EDUCATION: High school diploma or equivalent required; bachelor's degree in healthcare administration, behavioral health or related field preferred.

LICENSE/CERTIFICATION: Lean Six Sigma Green Belt certification

EXPERIENCE:

Position requires strong analytical, organizational, and problem-solving skills, well-developed communication skills, ability to manage multiple priorities, and flexibility in a fast-paced environment.

Experience in healthcare operations, preferably in behavioral health or hospital settings.

Excellent communication and relationship-building skills.

Proficiency in data collection, reporting and analysis.

Familiarity with regulatory and quality standards in clinical settings.

Ability to work independently and cross-functional.

PERFORMANCE EXPECTATIONS

Demonstrates the technical competencies as established on the Assessment and Evaluation Tool.

WORK ENVIRONMENT

Potential for exposure to the hazards and risk of the hospital environment, including exposure to infectious disease, hazardous substances, and potential injury.

This position requires desk/computer work much of the time.
