Job description

Arbol is a global climate risk coverage platform and FinTech company offering full-service solutions for any business looking to analyze and mitigate exposure to climate risk. Arbol’s products offer parametric coverage which pays out based on objective data  triggers rather than subjective assessment of loss. Arbol’s key differentiator versus traditional InsurTech or climate analytics platforms is the complete ecosystem it has built to address climate risk. This ecosystem includes a massive climate data infrastructure, scalable product development, automated, instant pricing using an artificial intelligence underwriter, blockchain-powered operational efficiencies, and non-traditional risk capacity bringing capital from non-insurance sources. By combining all these factors, Arbol brings scale, transparency, and efficiency to parametric coverage.

Arbol is seeking an Office Manager to oversee day-to-day site operations and administrative support for our office in Sarasota. Located off Lakewood Ranch Boulevard North, our office is big, beautifully designed, and built to make coming into work enjoyable. You'll be the person keeping our office running, with access to an on-site gym, a fully stocked kitchen, and comfortable, well-designed common spaces. We're a tight-knit crew, so you'll actually get to know the people you work with every day. As Office Manager, you'll help keep this space running at its best for the whole team.
 
Reporting to the Chief Operating Officer, this role ensures our office is organized, functional, professional, and well-supported by managing office supplies, mail and package handling, visitor reception, vendor coordination, facility-related requests, office equipment needs, and general administrative support for employees and leadership. 
 
Regular work hours are Monday through Friday, 9:00am - 5:00pm.
What You'll Be Doing

Office Operations:

  • Oversee daily office operations and ensure the site is clean, organized, stocked, and visitor-ready.
  • Maintain conference rooms, common areas, kitchen/pantry areas, and shared office resources.
  • Help maintain office safety, security, emergency procedures, and visitor protocols.

Facilities & Vendor Coordination:

  • Serve as the primary point of contact for office facilities, building management, vendors, maintenance, and service providers.
  • Coordinate office repairs, equipment service, supply replenishment, and workspace needs.
  • Maintain office inventory, supply budget tracking, and vendor/service records.

Administrative Support:

  • Manage mail, shipping, receiving, scanning, filing, and document organization.
  • Coordinate with IT, HR, Finance, and Operations on site-related needs.
What You'll Need
  • High school diploma or GED required; Associate's or Bachelor's degree preferred
  • At least three years of office administration, office management, administrative support, or related experience.
  • Extensive knowledge of office management procedures.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite or related software.
  • Active Florida Notary or ability to obtain within 90 days.

  • Ability to sit for extended periods of time while working at a computer, with or without reasonable accommodation
  • Ability to use a computer, keyboard, mouse, and standard office equipment (e.g., phone, printer, scanner)
  • Ability to view a computer screen for prolonged periods, with or without reasonable accommodation
  • Ability to communicate effectively in person, by phone, and via email
  • Ability to occasionally stand, walk, bend, and reach within an office environment
  • Ability to lift and/or move up to 10–15 pounds occasionally (e.g., office supplies, files), with or without reasonable accommodation
  • Ability to perform repetitive motions, such as typing or data entry
  • Ability to maintain focus and attention while performing detailed tasks
