    Job description

    Overview:

    Job Summary

    The Ground Fleet & Operations Lead is responsible for providing operational oversight, fleet asset management, workforce coordination, and regulatory compliance support for Ground Services operations. This role oversees fleet lifecycle administration, preventative maintenance scheduling, repair coordination, EMT scheduling support, and records management, enabling Area Managers (AMs) to focus on operational leadership. Serves as a subject matter expert to promote fleet readiness, operational continuity, vendor accountability, and continuous audit compliance. This is a fleet and operations coordination position that will require EMS knowledge and credentials to effectively support Ground Services operations but does not itself perform EMT duties.

    Essential Functions and Responsibilities include the following:  

    Fleet Management & Compliance (Core Focus)

    • Own and manage the preventative maintenance schedules for all assigned ground emergency vehicles, medical transport units, and associated field equipment.
    • Coordinate directly with third-party service providers, mechanics, and upfitters to schedule, track, and approve maintenance and repairs, minimizing unit downtime.
    • Review diagnostic data and repair estimates to ensure cost-effectiveness, quality workmanship, and strict adherence to organizational safety standards.
    • Conduct routine physical inspections of assets to guarantee they are mechanically sound, safe, and configured properly for field operations.

    Records Management & Compliance Tracking

    • Maintain complete, audit-ready digital registries of vehicle titles, registrations, state permits, emissions testing, and insurance documentation.
    • Track and log all maintenance records, part replacement histories, and safety certifications within the company’s fleet tracking database to establish clear vehicle lifecycle visibility.
    • Ensure absolute alignment with Department of Transportation (DOT), Federal Motor Carrier Safety Administration (FMCSA), and regional Emergency Medical Services (EMS) vehicle regulations.
    • Audit and clear pre-trip inspection checklists completed by field crews, escalating and addressing tracking anomalies immediately.

    Operational Logistics & Advisory

    • Work collaboratively with CE Leadership, Sales, and Clinical Leadership to provide data-driven recommendations on fleet procurement, vehicle retirement cycles, and ground transport policy development.
    • Ensure all specialized on-board medical equipment is properly secured, inventoried, and tracked according to compliance profiles.
    • Coordinate base maintenance activities and EMT scheduling across assigned locations, ensuring operational readiness, adequate staffing coverage, and efficient deployment of personnel and resources.
    • Respond to or advise on emergency and non-emergency field vehicle failures, coordinating recovery operations and replacement asset deployment.
    • Provide support for basic clinical safety parameters, ensuring field teams are properly trained on vehicle operations and safe extraction protocols.
    • Other duties as assigned

    Additional Job Requirements

    • Regular scheduled attendance
    • Indicate the percentage of time spent traveling: 50%

    Supervisory Responsibilities

    This position has no direct supervisory responsibilities but may coordinate operational activities and schedules across assigned locations.    

    Qualifications

    To perform this job successfully, an individual must be able to perform each essential function satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.  In accordance with applicable laws, Air Methods will provide reasonable accommodations that do not create an undue burden so disabled employees may perform the essential functions of the position.

    Education & Experience

    • High school diploma or general education degree (GED) and five to eight (5–8) years’ related experience and/or training; or equivalent combination of education and experience.
    • Minimum of three to five (3–5) years of leadership, supervisory, or project lead experience in a fleet, logistics, or emergency services environment.
    • Proven experience handling vehicle asset management, repair tracking, and DOT or regional ground safety compliance, preferred. 

    Skills

    • Strong understanding of fleet asset management, preventative maintenance scheduling, and vehicle compliance regulations (including DOT tracking).
    • Strong organizational and scheduling skills with the ability to coordinate staffing resources, maintenance activities, and operational priorities across multiple locations.
    • Strong technical acumen regarding emergency vehicle mechanics, preventative maintenance routines, and vehicle electrical/upfit configurations.
    • Expert-level understanding of asset record-keeping, maintenance logging, and regional DOT compliance parameters.
    • Excellent vendor management skills with the ability to hold third-party facilities accountable to strict turnaround times and budgets.
    • Sharp analytical skills to evaluate vehicle wear-and-tear trends, fuel efficiency data, and repair-vs-replace scenarios.

    Computer Skills

    • Intermediate with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook 
    • Direct familiarity with asset tracking databases or enterprise asset management systems. 

    Compensation

    • Base Salary Range: $71,000 - $88,000 annually

    Certificates, Licenses, Registrations

    • Valid state driver’s license with a clean driving record suitable for commercial fleet administration.
    • Current state certified EMT, EMT-I, or AEMT in good standing.
    • Certified Automotive Fleet Manager (CAFM), Certified Fleet Professional (CFP), or equivalent logistics/fleet certification preferred.
