The Chicago Warehouse Office team is looking to fill an immediate opening for an Administrative Assistant. This position is to assist the Warehouse Supervisor with the daily operations of the warehouse. The role includes handling clerical functions such as Castle requisition processing and adjustments, inbound receiving and reconciliation, inventory control, and invoice review and approval. This incumbent will also serve as backup for the Warehouse Supervisor during their absence. The objective is to provide food items and supplies to the Castles in a timely and accurate manner while supporting efficient warehouse operations. 1st shift - 6am - 2:30pm

• High School Diploma or GED is required;

• Must have 1 years of clerical experience and working knowledge of office operations and equipment;

• Previous Warehouse experience preferred;

• Excellent Microsoft Office skills and exceptional organizational skills to prioritize multiple projects;

• Able to work under pressure, tight deadlines and manage completing tasks in a timely manner;

• Must be detail oriented while able to communicate a broader message.

• Collect Castle orders and process for warehouse picking. Follow up on late / incomplete orders with GMs, to resolve any issues. Process Castle add-ons / changes and will-call orders for GM/DS pickup;

• Coordinate cycle counts with Warehouse Team Members enter corrections / adjustments into Workflow Manager. Assist in the investigation of inventory discrepancies to identify cause and make necessary adjustments / corrections. Check product lot date information and advise Warehouse Supervisor on product at risk of expiration / loss;

• Process Castle delivery invoices in M3 in order to charge food items and supplies to the Castles. Process overage / shortage adjustments in order to correctly charge / credit the Castle inventory;

• Review receiving documents and verify quantities versus PO and Bill of Lading, communicating any discrepancies to the Warehouse Supervisor. Enter received quantities into M3 and process paperwork for payment / Accts Payable processing. Enter / verify lot tracking information, and / or FSMA required / regulatory documentation;

• Review invoices for accuracy. Approve invoices for payment as delegated by the Warehouse Supervisor;

• Assist and back up other team members in the warehouse as required and requested. Cross train in other team members' jobs;

• Perform any other duties as assigned by manager in a timely and efficient manner.

Hourly Pay Rate: $23.96 - $31.94 per hour
