The Administrative Assistant serves as the welcoming first point of contact for the organization and provides essential administrative support to staff, community partners, volunteers, and visitors. This position is responsible for maintaining an organized and professional front office, handling incoming communications, assisting with routine administrative tasks, and supporting the day-to-day operations of the organization.

Job Duties
Essential Duties and Responsibilities
All duties take place at 100 S 7th St, Terre Haute, IN 47807 and include the following:
Reception Desk
  • Greet and assist visitors, volunteers, donors, community partners, and members of the public in a professional and welcoming manner.
  • Answer and direct incoming telephone calls and respond to general inquiries.
  • Monitor and respond to general organizational email and other communications as appropriate.
  • Receive, sort, distribute, and prepare outgoing mail and deliveries.
  • Maintain a clean, organized, and welcoming reception and common office area.
  • Provide information about organizational programs, events, and services or direct inquiries to the appropriate staff member.

Administrative Support
  • Provide general administrative support to staff and leadership.
  • Maintain organized electronic and physical files and records.
  • Enter and update information in databases, spreadsheets, and other systems.
  • Assist with mailings, printing, copying, and other office projects.

Program and Event Support
  • Provide administrative assistance for programs, meetings, and community events.
  • Assist with event registration, preparation of materials, and follow-up.
  • Help prepare promotional materials, packets, forms, and other resources.
  • Assist staff with special projects and organizational initiatives.

Technology and Communications
  • Use Microsoft Office and other computer programs.
  • Maintain basic proficiency with email, calendars, word processing, spreadsheets, printers, copiers, and telephone systems.
