Position Specific SummaryThe Parks Event Coordinator position at the City of Tucson's Parks and Recreation Department is responsible for coordinating customer service, permitting, reservations, contracts, and administrative processes associated with special events, facility rentals, and public use of parks and recreation venues. Serves as the primary liaison between customers, community organizations, event organizers, City departments, and external agencies to facilitate successful events and community engagement opportunities. Coordinates department-sponsored events and public participation opportunities as resources allow.
Works is performed under the supervision of the Recreation Superintendent. This position exercises supervision over parks event personnel.
Duties and Responsibilities- Interfaces with constituents, community members, and prospective clients to assess needs and match them with appropriate park venues.
- Reviews and evaluates proposed events to determine suitability for City parks and facilities based on event size, operational impacts, site characteristics, public safety considerations, and available resources.
- Conducts site visits and planning meetings with event organizers to assess operational needs and identify potential impacts to parks, facilities, and surrounding areas.
- Coordinates and manages the reservation of event spaces, including processing permits, contracts, and related documentation.
- Assists constituents in securing required liability insurance and operational permits in compliance with City Risk Management standards and applicable requirements of the Tucson Fire Department, Transportation and Mobility, Business Services, Pima County Health Department, and the Clerk's Office.
- Invoices and processes payments for rental fees, permits, and associated charges; ensures proper financial reconciliation of event accounts.
- Disseminates event information to Park Maintenance, Recreation Centers, Tucson Fire Department, Tucson Police Department, Transportation and Mobility, Ward Offices, the City Manager's Office, and other relevant departments and stakeholders.
- Oversees operational readiness of performance venues and park facilities, including coordination of repairs, maintenance, and equipment needs.
- Coordinates with vendors, contractors, and volunteers to support successful event execution.
- Supervises technical and event staff, including audio engineers and parks event workers.
- Plans, coordinates, and executes community events. Coordinates, when funding allows, department events for public participation.
- Monitors event operations and works with organizers to ensure compliance with permit conditions, safety requirements, and approved event plans.
- Performs all other duties and tasks as assigned.
Working ConditionsThis position involves indoor and outdoor work with exposure to extreme physical, ergonomic, or emotional hazards. This is a primary driver position and will be expected to operate a city vehicle.
Must be available to work on some nights and weekends, and availability to troubleshoot after-hours calls
