About Trinity Management

We are looking for a customer-focused, organized, and detail-oriented Administrative Assistant to join our team. This role is ideal for someone who enjoys building relationships, providing exceptional customer service, and supporting the day-to-day operations of a residential community.

Position Summary

The Administrative Assistant plays a key role in supporting the daily operations of the property by combining leasing responsibilities with administrative support. This position serves as one of the first points of contact for prospective and current residents.

Essential Responsibilities
  • Welcome residents, prospective residents, vendors, and visitors in a professional and friendly manner.
  • Answer and direct incoming phone calls and respond to office emails promptly.
  • Deliver exceptional customer service by responding to resident inquiries and directing requests to the appropriate team members.
  • Assist with resident move-ins, lease documentation, and application processing.
  • Accept rental payments in accordance with company policies.
  • Process resident work orders through Yardi and ensure timely follow-up.
  • Maintain resident, applicant, and office files with a high level of accuracy and confidentiality.
  • Coordinate office mail, purchase orders, invoices, and office supply inventory.
  • Serve as the primary point of contact for office technology and IT-related requests.
  • Support community outreach, marketing initiatives, and resident engagement activities.
  • Monitor local market trends and competitor communities.
  • Perform other administrative and leasing duties as assigned.
Qualifications
  • Bilingual in Spanish
  • Previous experience in administrative support, or customer service preferred.
  • Strong interpersonal and communication skills.
  • Excellent organizational and time management abilities.
  • Ability to maintain confidentiality and manage multiple priorities.
  • Proficiency with Microsoft Office; experience with Yardi or other property management software is a plus.
  • Professional, dependable, and customer-focused with strong attention to detail.
