We are looking for a motivated, empathy-forward Case Manager to join our center in Raleigh, NC. This role is ideal for someone who is committed to helping families, keeping programs running smoothly, and making a genuine difference in the lives of children every single day. What This Role Is The Case Manager is the operational and relational hub of the center. You are not delivering therapy directly - you are making sure everything around the therapy runs well.

That means managing staff schedules, supporting families through their journey, keeping programs on track, and being the person everyone can count on when something needs to get done. This is a fast-paced, people-first role that requires equal parts organization, empathy, and follow-through. Where You'll Make an Impact Program Coordination and Oversight Manage staff availability and scheduling to ensure continuous, high-quality client care with no gaps in service Monitor utilization data to review client programs and confirm consistent, reliable service delivery Track client progress and flag concerns to the clinical team when program adjustments may be needed Proactively identify process improvement opportunities and implement solutions that support operational efficiency Maintain accurate client records and documentation in compliance with HIPAA and center standards Support families in understanding the value of consistent therapy attendance and active engagement Family and Provider Relations Serve as the primary point of contact for parents and external providers - address questions, concerns, and needs with care and professionalism Build trusting, long-term relationships with families; meet them where they are and make them feel heard and supported at every stage Coordinate with outside case managers, insurance providers, and school teams as needed to support continuity of care Handle sensitive conversations with discretion, empathy, and a solutions-first mindset Staff Support and Team Development Assist with onboarding and training of new clinical and administrative staff to support smooth integration into the team Provide day-to-day guidance to staff on center standards, protocols, and best practices Support the Center Director in building and maintaining a collaborative, high-performing team culture Step in where needed - this role requires flexibility and a willingness to contribute beyond a defined scope Administrative and Operational Support Manage intake coordination and ensure new client onboarding is organized and family-friendly Maintain scheduling systems and communicate changes to families and staff promptly Support billing and authorization workflows by tracking service delivery against approved hours Handle confidential information with full HIPAA compliance at all times What Sets You Apart Required 2+ years of experience in an office or coordination role within ABA, behavioral health, pediatric care, or a related family services environment Strong organizational skills - able to manage multiple priorities, shifting schedules, and competing demands without losing momentum Empathy-forward communication style - you genuinely meet families where they are and make them feel supported Proficiency in Microsoft Suite; comfort learning new platforms and systems quickly Full commitment to HIPAA compliance and handling sensitive information with discretion Able to work independently and take ownership of outcomes without constant oversight Nice to Have Experience building or refining administrative workflows or intake processes Familiarity with ABA-specific platforms or practice management software Background working directly with children with autism, developmental differences, or special needs The kind of person who walks into a problem, rolls up their sleeves, and leaves a clear path forward What We Offer Competitive salary based on experience Medical, dental, and vision insurance Paid Time Off and paid holidays 401(k) with employer match after one year Professional growth and advancement opportunities within a rapidly expanding organization Where You'll Work Location: Georgia - can be based in Lawrenceville, Norcross, or Stone Mountain) Schedule: Monday through Friday, 9:00 AM - 5:00 PM Work Type: On-site.
