Job description

We're looking for someone who is ready to make a meaningful difference in the lives of pregnant people and their families. As a Front Desk Associate at Oula in Brooklyn, NY, you'll be the first warm welcome patients receive and a steady, reassuring presence throughout their visit. Your work will help create moments that patients remember long after their pregnancy journey ends, moments of feeling seen, supported, and truly cared for.

This role is more than checking patients in and out. You'll help create a seamless, meaningful experience - keeping our clinic running smoothly, helping patients feel comfortable and informed, and contributing to the supportive atmosphere that makes Oula special. This is a full-time, in-person role based at our clinic located at 109 Montague St, Brooklyn, NY 11201, where you'll join a collaborative, kind, and passionate team dedicated to redefining what maternity care can feel like.

Key Responsibilities

  • Creates smooth and effective clinic flow through waiting room management, care team communication and coordination in the clinic
  • Is an expert schedule management, keeping patients on their care journey through careful scheduling and rescheduling of routine appointments such as blood draws, sonograms, handling reschedules, and managing late-arrival communications
  • A friendly face that creates a wonderful in-person experience through warmly greeting patients and manage check-in and check-out processes with empathy and care. Keeps the space welcoming and in tip-top shape by Performing general front-of-house tasks, such as daily checklists, light tidying, plant care, and replenishing snacks, water, and tea
  • Answers and triages patient phone calls, taking ownership of whatever comes your way to drive "one touch" resolution for the patient
  • Drives financial sustainability by collect co-pays, payments for payment plans and support insurance billing
  • Is responsible for general clinical administrative tasks such as retrieving medical records, processing referrals and obtaining prior authorizations
  • Prepare for and participate in daily huddles to support smooth clinic operations

Desired Experience & Qualifications

  • Associate's degree or higher preferred; High School Diploma/GED required
  • 2+ years of relevant healthcare experience
  • Ability to work independently, efficiently, and with strong attention to detail
  • Strong computer skills; EMR experience preferred
  • Excellent interpersonal, organizational, and communication skills
  • Demonstrated reliability, professionalism, and strong work ethic
