IT Project Coordinator - Job Description

Job Title: IT Project Coordinator
Experience: 2-5 years
Employment Type: Full-time

Role Overview

We are looking for an IT Project Coordinator to support the planning, execution, tracking, and successful delivery of IT projects. The role involves coordinating project activities, maintaining schedules and documentation, tracking risks and dependencies, facilitating communication among stakeholders, and supporting project managers and technical teams.

Key Responsibilities
  • Coordinate day-to-day activities across IT projects.

  • Assist project managers with project planning, scheduling, budgeting, and resource coordination.

  • Maintain project plans, timelines, milestones, action items, and deliverables.

  • Coordinate meetings, prepare agendas, record minutes, and track follow-up actions.

  • Monitor project progress and communicate status updates to stakeholders.

  • Track project risks, issues, dependencies, and change requests.

  • Coordinate activities between development, infrastructure, security, QA, vendors, and business teams.

  • Maintain project documentation, reports, requirements, and approvals.

  • Follow up with team members to ensure tasks and deliverables are completed on time.

  • Prepare project status reports, dashboards, and management presentations.

  • Support procurement, vendor coordination, contracts, and invoice tracking when required.

  • Assist with project budgeting and resource utilization tracking.

  • Ensure project activities follow organizational processes, standards, and governance requirements.

  • Support Agile/Scrum ceremonies such as stand-ups, sprint planning, reviews, and retrospectives where applicable.

  • Identify schedule delays and escalate risks or blockers to the project manager.

  • Assist with project closure, documentation, lessons learned, and transition to support teams.

Required Skills
  • Strong organizational and coordination skills.

  • Understanding of IT project lifecycle and software development processes.

  • Familiarity with Agile, Scrum, Waterfall, or hybrid project methodologies.

  • Experience with project-management tools such as Jira, Microsoft Project, Azure DevOps, Asana, or similar.

  • Strong skills in Microsoft Office, particularly Excel, PowerPoint, and Teams.

  • Good understanding of IT infrastructure, software development, cloud, or enterprise technology concepts.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple priorities and meet deadlines.

  • Strong attention to detail and documentation skills.

  • Ability to work effectively with technical and non-technical stakeholders.

Preferred Skills
  • Experience supporting software development or IT infrastructure projects.

  • Knowledge of project governance, change management, and risk management.

  • Basic understanding of budgeting, resource planning, and vendor management.

  • Familiarity with PMO processes and reporting.

  • Knowledge of ITIL practices is an advantage.

  • Experience working with distributed or cross-functional teams.

Preferred Certifications
  • Certified Associate in Project Management (CAPM)

  • Project Management Professional (PMP)

  • Professional Scrum Master (PSM)

  • Certified ScrumMaster (CSM)

  • ITIL Foundation

Education
  • Bachelor's degree in Information Technology, Computer Science, Business Administration, Project Management, or a related field preferred.
