Core Responsibilities
- Manage email and calendars for the VP of Material Logistics Management and the General Manager.
- Schedule meetings, coordinate calls, and manage daily workflow.
- nswer phones and serve as primary administrative point of contact.
- Prepare presentations and generate reports as needed.
- Handle multiple administrative projects simultaneously.
- Draft and distribute departmental communications (including ghost-writing for VP).
- Support communication needs for approximately 600 employees in the department.
Suite Coordinator Responsibilities (On - Site)
- Manage the team's designated suite, including employee seating assignments.
- ssist with technology needs and coordinate with IT and Facilities for issues.
- Maintain and schedule the conference room and ensure equipment functionality.
- Submit facilities work orders for repairs (e.g., broken chairs, maintenance needs).
- Oversee office supply inventory and reorder materials (paper, markers, Post - its, etc.).
- Use the PentSAP system to order supplies and document receipt of materials (training provided; no SAP experience required).
Travel & Expense Responsibilities
- Book and coordinate travel for the VP and General Manager.
- Prepare and process expense reports for both leaders.
- pprove travel requests and expenses for employees reporting directly to the VP.
- Serve as department - wide travel and expense support contact (~600 staff across multiple plants).
- ssist employees with travel system questions, booking support, and expense processing.
