About the Role:
We are seeking a motivated and organized individual to join our team as an Insurance Office Assistant at McDaniel Insurance in Shelbyville, KY. This is an exciting opportunity to work in a fast-paced and dynamic environment, providing essential support to our staff and ensuring the smooth operation of our office.
Responsibilities:
  • Answer inbound calls from current customers, prospective customers, insurance carriers, and other business contacts in a friendly and professional manner.
  • Make outbound calls to current customers and prospective customers for follow-ups, appointment scheduling, information gathering, and other agency-approved purposes.
  • Contact prospective customers and leads to introduce the agency, determine their insurance needs, and schedule appointments or connect them with a licensed insurance agent.
  • Conduct customer follow-up calls regarding renewals, policy reviews, missing information, documents, signatures, payments, and other service needs.
  • Maintain accurate records of inbound and outbound calls, conversations, follow-up activities, and outcomes in the agency management system.
  • Follow established agency procedures and applicable calling, privacy, and insurance regulations when communicating with customers and prospects.
  • Greet clients who visit the office in a friendly, professional manner.
  • Respond to general client questions and direct insurance-related questions to the appropriate licensed team member.
  • Schedule appointments and assist with managing the agency calendar.
  • Process incoming and outgoing mail, email, documents, and correspondence.
  • Scan, upload, organize, and maintain client documents and electronic files.
  • Assist with collecting information and documentation needed for policy servicing and quoting.
  • Assist with policy-related administrative tasks, including renewals, cancellations, endorsements, and new-business paperwork, as permitted.
  • Enter and update client and prospect information accurately in the agency management system and carrier systems.
  • Help maintain organized client records and ensure documentation is completed accurately.
  • Assist with billing inquiries and direct clients to the appropriate agent, carrier, or billing department when necessary.
  • Help prepare letters, forms, reports, and other office documents.
  • Support agents and other team members with daily administrative needs.
 
Requirements:
  • Excellent communication and customer service skills
  • Proficiency in Microsoft Office and basic office equipment
  • Ability to multitask and prioritize tasks effectively
  • Previous experience in an office or administrative role is preferred
  • High school diploma or equivalent
  • Within 60 days of hiring, will need to get P&C insurance license
