A client of Innova Solutions is immediately hiring for an Executive Assistant.
Position type: Contract
Duration: 12 to 18 months
Location: Hybrid 3 days onsite in Charlotte, NC.
As an Executive Assistant, you will:
Top Skills:

• 5-7 years of experience as an Administrative/Executive Assistant.
• Knowledge of Banking systems including Concur, GEP, Corporate travel services, myfacilities, visitor access system, etc.
• Set up, maintain, and update on a monthly basis various DG contact lists for the team, conduct annual review with the managers on relevance of the DGs, create new and delete old ones as business needs arise
• Support Execs and the team in employee engagement events by proactively planning, making reservations, tracking attendance, coordinating activities and overall event logistics

Description:
• Monitor teams' completion of the compliance trainings, AIM certifications, other enterprise mandates by the deadline, distribute delinquency reporting metrics and follow up with the delinquent resources to facilitate timely resolution
• Serve as a Proxy for the Exec or senior managers on application access, ARM request and other system approvals, review for the requests to have a business reason and adhere to the enterprise policies, ensure that the approvals are granted in a timely manner without expirations
• Maintain adequate inventory of the office supplies, including pantry and copy paper (toner distribution), order if/when needed. This may require coordination and partnership with other administrative assistants or office managers
• Serve as the point of contact for equipment/headset issues, facility requests, etc and other onsite office related assistance
• Create and regularly update teams org. chart and maintain its versions
• Set up, maintain, and update on a monthly basis various DG contact lists for the team, conduct annual review with the managers on relevance of the DGs, create new and delete old ones as business needs arise
• Collaboration with other teams and/or floor admins - distribution of alert and general floor notices, assisting with seat allocations, providing time off coverage
• Support Execs and the team in employee engagement events by proactively planning, making reservations, tracking attendance, coordinating activities and overall event logistics
• Other administrative activities to help effective and collaborative work environments, including maintaining business resiliency related emergency contact documentation, telepresence and conference room boking across teams locations, advocate for efficient facilities & related
Required Qualifications
• Must have prior work or current work experience as an Administrative or Executive Assistant
• Self-starter with excellent anticipation skills, problem solving, follow up, must have excellent judgment, be independent thinker and resourceful
• Demonstrated ability in either current or prior positions to interact with senior level executives
• Proven ability and demonstrated skills to foster a welcoming / positive attitude and promote team morale
• Strong executive presence and superior interpersonal communications skills
• Ability to be adaptable and work well with people at all organizational levels and with different interpersonal styles
• Accuracy/quality control - must demonstrate accuracy & thoroughness and monitor own work to ensure quality
• High attention to detail and ability to solve problems quickly and efficiently
• Comfortable working in a sometimes hectic, high-pressure environment, able to adapt to unexpected events, prioritize and multi-task, while maintaining high standards despite pressing deadlines
• Ability to handle highly sensitive, confidential and non-routine information
• Demonstrated dependability and sense of urgency about getting results
• Ability to display a consistent, professional degree of communication

PAY RANGE AND BENEFITS:
Pay Range*: $40 - $44 per hour
*Pay range offered to a successful candidate will be based on several factors, including the candidate's education, work experience, work location, specific job duties, certifications, etc.
