Department
University Business Administrators - Division of Student Affairs - Career Center
Responsibilities
This position is responsible for the financial and HR departmental functions for the Career Center. The position monitors the business activities of the department by maintaining financial records, preparing reports, reconciliating accounts, processing transactions, and assisting month-end and year-end close out procedures.
  • Manages multiple budgets including E&G, carryforward, auxiliary, and Foundation accounts. Completes monthly and annual projects and provides summaries to the Associate Director and Career Center leadership team. Ensures reconciliation and maintenance of all departmental budgets. Participates in budget planning meetings, enters annual operating budget. Ensures the department follows all University policies and procedures regarding finance and administration and keeps Career Center staff apprised of updates or changes. Responsible for budgetary functions to including annual budget entry. Monitors expenditures and available balances for all department budgets. Ensures a compliant internal control environment regarding revenue, expenses, and budgets. Interpret fiscal policy and procedure changes that affect the Career Center and inform the Director of these changes and their effective dates.
  • Manages auxiliary budgets. Generates and maintains separate budget tracking for each Career Center program area and prepares budget projections for each program cycle, including rate analysis. Prepares and submits rate methodology and UBIT reports as necessary.
  • Supervises the Administrative Specialist position. Provides guidance and direction, including management of position recruitment, training, performance evaluations, and staff development. Responsible for site expectations, implementing departmental policies and procedures, and systems usage. Serves as the HR Departmental Manager, approving HR transactions to ensure effective and efficient business actions. Manages the FACET reporting system and serves as a P-Card Proxy.
  • Responsible for departmental purchases through SpearMart, serves as a P-Card holder ensuring that Procurement and Contract policies and procedures have been executed. Acts as the Career Center Contract Manager. Enters contracts into OMNI for review and signatures. Provides support for vendors concerning payment status. Processes Payment Requests using Foundation funds.
  • Responsible for the departmental travel processes in Concur including supervising budget approvals, reconciling employee travel charges, and processing any guest travel expenses. Provides support and travel training to all department employees.
  • Executes transactions associated with the Career Center scholarship funds in FS4U. As the Departmental Property Custodian responsible for maintaining records of annual physical inventory, certifications, and Property records.
  • Serves as the financial liaison between OVPSA, the Career Center and other university areas including Budget, Procurement, Controllers, Foundation and Contracts & Grants. Updates Cash Collection procedures as needed from the Career Center Office Manual and prepares the annual Cash Collection audit for the Tax and Compliance department. Serve as the backup for Administrative Specialist position and maintain a notary certificate for the Career Center.

Qualifications
A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)

Anticipated Salary Range
Starting in the low to mid $50,000's, commensurate with education and experience.
