POSITION SUMMARY:
Perform selected administrative/clerical duties that assist in the delivery of overall patient care and customer satisfaction under the direction of a physician and practice manager. These duties are delegated in relation to the individual's degree of training, in accordance with the objectives and policies of the organization and respective state laws governing such action and activities.
POSITION EDUCATION/ QUALIFICATIONS:
• High School/GED required
• Associates degree preferred
• Three (3) years of supervisory experience in a medical practice
• Excellent customer service skills
• Ability to work with all patient types in a busy practice
• Computer skills required with knowledge of Microsoft Office suite, Internet, and practice mgmt software
• Good written and verbal communication skills required
• Requires reasoning ability, good independent judgment and organizational skills
• Must project a professional image and be able to work with frequent interruptions
• Bilingual - English/Spanish - preferred
• Position requires travel, valid driver's license and vehicle insurance are required
• Some evening and weekend work will be required
JOB KNOWLEDGE/EXPERIENCE:
• Three (3) years experience in a physician office is most desirable
• Strong knowledge of medical terminology, in house procedures, and overall office procedures
• Excellent interpersonal skills and must be able to be sensitive to cultural and bilingual issues

Responsibilities:
POSITION RESPONSIBILITIES:
• Monitor scheduling of patients to ensure smooth workflow with physicians/providers in the clinic on a daily basis
• Greet patients and visitors; be courteous, polite and helpful to the public, patients and clients at all times when representing the practice, providing excellent customer service
• Respect and maintain privacy and dignity of patients, assure confidentiality at all times
• Oversee office staff to ensure patient work flow, serves as a back-up for the office manager, performing duties in cases of emergency, or when she is unavailable. Keeps in communication with manger at all times
• Maintain staff work schedule to provide appropriate coverage
• Route fax/scanned documents that come to the EMR or patient chart, as needed.
• Schedule, reschedule, confirm, or cancel patient appointments as needed
• Cover for the manager in all aspects as needed
• Is available to the physicians for needs regarding CME requests and other educational/personal requests as needed
• Call patients who were "no shows" or who cancelled their appointments to reschedule, as needed
• Flexibility to work different locations as needed by practice
• Monitor schedule of physicians and practitioners making sure patients are notified appropriately
• Serve as a daily resource for all questions from providers, management, and staff
• Assist in disciplinary actions, and hiring of staff.
• Edit payroll and ensures timely submission of time to payroll dept.
• Act as liaison between IT and office, troubleshoots issues with equipment
• Maintain referring MD fax database and updates as needed
• Work and follows up on the work administrator report and resubmits the claims daily to billing
• Work the accepted and rejected reports from the billing vendor and documents on patient management in the appropriate account
• Act as a back-up for staff dealing with hospital consults for physicians
• Update and educates staff on changes affecting the practice relating to all subjects, including but not limited to billing, insurance, OSHA, HIPAA, MU, PQRS, etc.
• Collect and balances payments as needed
• Order supplies as needed
• Medical records release of information for patients as needed
• Report any/all equipment failures or office issues to the Manager
• Other duties as assigned

CUSTOMER SERVICE:

B. Working Conditions: The individual spends over 95% of his/her time in an air-conditioned environment with varying exposures to noise. There is protection from weather conditions but not necessarily from temperature changes. The position does have low exposure to malodorous, infectious body fluids from patients and some minimal exposure to noxious smells from cleansing agents.
