About the Role
We are looking for a highly organized, proactive, and proactive Lead Customer Service Manager to manage/handle customer communications, streamline workflow demands, and manage our CRM operations. In this role, you will bridge the gap between our clients, field technicians, and internal office staff to ensure seamless service delivery, efficient workload distribution, and timely billing collections.
Key Responsibilities
Customer & Intake Management: Manage multi-channel customer intake (phone, email, web requests) and oversee incoming customer service demands promptly and professionally.
CRM Administration: Maintain, organize, and update customer profiles, service records, and communication logs within the CRM system to ensure data accuracy.
Inter-Departmental Collaboration: Coordinate closely with field technicians and office staff to schedule services, relay critical job details, and resolve scheduling or operational conflicts.
Workload & Scheduling Oversight: Monitor team capacity, track technician schedules, and balance workloads to maintain optimal response times and service quality.
Accounts Receivable & Collections: Oversee customer billing inquiries, follow up on outstanding invoices, and manage payment collections processes.
Process Improvement: Identify bottlenecks in customer intake or dispatch workflows and implement strategies to increase efficiency and customer satisfaction.
Qualifications & Requirements
Experience: 3+ years of experience in customer service management, office administration, or operations coordination (field services or dispatch experience is a plus).
CRM Proficiency: Hands-on experience navigating and managing CRM platforms (e.g., ServiceTitan, Salesforce, HubSpot, or similar field management tools).
Communication Skills: Strong verbal and written communication skills with a customer-first mindset and strong conflict-resolution abilities.
Financial Savvy: Demonstrated experience with basic billing, invoicing tracking, and collection procedures.
Organization: Excellent multitasking and time-management skills with proven success managing heavy workloads under deadlines.
