Procurement Officer

Job Summary

We are looking for a detail-oriented and proactive Procurement Officer to manage the procurement of goods and services while ensuring quality, cost-effectiveness, timely delivery, and compliance with company policies. The Procurement Officer will coordinate with suppliers and internal departments to ensure uninterrupted supply and maintain strong vendor relationships.

Key Responsibilities
  • Manage the end-to-end procurement process from purchase requisition to delivery.
  • Source and evaluate suppliers based on price, quality, reliability, and delivery performance.
  • Obtain and compare quotations from multiple vendors.
  • Negotiate pricing, payment terms, delivery schedules, and commercial conditions.
  • Prepare and issue Purchase Orders (POs) in accordance with approved requirements.
  • Follow up with suppliers to ensure timely delivery of materials and services.
  • Maintain and update supplier databases, price lists, contracts, and procurement records.
  • Monitor supplier performance and resolve issues related to quality, quantity, pricing, or delivery.
  • Coordinate with Finance, Warehouse, Operations, Production, and other departments regarding procurement requirements.
  • Ensure purchased materials and services meet specified quality and technical requirements.
  • Identify opportunities for cost reduction and process improvement.
  • Support supplier selection, onboarding, evaluation, and periodic performance reviews.
  • Ensure procurement activities comply with company policies, approval procedures, and applicable regulations.
  • Maintain accurate procurement documentation and records for audit purposes.
  • Monitor purchase orders, outstanding deliveries, and pending invoices.
  • Prepare procurement reports covering purchases, savings, supplier performance, and outstanding orders.
  • Assist in developing and maintaining annual procurement plans and budgets.
Required Qualifications
  • Bachelor's degree in Procurement, Supply Chain Management, Business Administration, Commerce, Logistics, or a related field.
  • 2–5 years of experience in procurement, purchasing, sourcing, or supply chain operations.
  • Good understanding of procurement processes, vendor management, and commercial negotiations.
  • Proficiency in Microsoft Excel and ERP/procurement systems.
  • Strong communication and negotiation skills.
  • Good analytical and problem-solving abilities.
  • Strong attention to detail and documentation skills.
  • Ability to manage multiple priorities and meet deadlines.
Preferred Qualifications
  • Professional certification such as CIPS, CPSM, CSCP, or equivalent.
  • Experience in manufacturing, construction, FMCG, retail, pharmaceuticals, hospitality, or other relevant industries.
  • Experience handling local and international suppliers.
  • Knowledge of import/export procedures and logistics is an advantage.
