Primarily Remote (Washington, DC or New York City area candidates only)

The Choice is managing a search for an Administrative Coordinator for our nonprofit client - a volunteer run organization that supports emerging professionals in infrastructure through networking, professional development and educational opportunities.

This is a part-time primarily remote position to support the day-to-day operations of the organization. This is an excellent opportunity for someone who enjoys keeping projects organized, supporting leadership teams and coordinating events and communications.

We're looking for someone interested in building a long-term relationship with the organization. This role may be especially appealing to an experienced administrative or operations professional seeking flexibility, someone returning to the workforce, or an individual with experience in nonprofit organizations, professional associations, executive support, or infrastructure-related industries including transportation, engineering and construction.

Candidates located in the Washington, DC or New York areas are preferred, as there may be occasional opportunities to attend organizational events. A virtual standing meeting is held Fridays from 11:30 AM–12:30 PM ET, and attendance is expected.

Candidates with experience or interest in nonprofit organizations, professional associations, civil engineering, construction management, transportation, urban planning, architecture, infrastructure consulting, or related industries are encouraged to apply.

Key Responsibilities

  • Coordinate board and committee meetings, including scheduling, agendas, meeting minutes, action items, and document management.
  • Support executive leadership by tracking priorities, coordinating projects, and helping committees stay organized.
  • Manage communications, including email campaigns, newsletters, website updates, social media, and marketing materials.
  • Assist with planning and execution of virtual and in-person events, including registrations, logistics, vendor coordination, and event tracking
  • Support scholarship and leadership development initiatives, academic partnerships, and the organization's job board.
  • Maintain membership records, assist with onboarding, respond to member inquiries, and support CRM administration.
  • Assist with invoicing, expense reporting, reimbursements, payment coordination, and other financial administration in partnership with the Treasurer.
  • Help ensure projects move forward by coordinating communication across multiple volunteer leaders and committees.

Qualifications

  • Self-starter able to manage own time and tasks. Outstanding organizational and time management skills.
  • Administrative, operations, executive support, project coordination, or nonprofit experience.
  • Strong written and verbal communication abilities.
  • Experience managing multiple priorities and working independently in a remote environment.
  • Experience with Microsoft Office and Google Workspace.
  • Experience with CRM systems (Glue Up is a plus).
  • Strong project coordination skills and attention to detail.
  • Confidence communicating with mid-to-senior level professionals.
  • Experience with Canva, Squarespace, newsletters, social media, or website updates is a plus.
  • Experience with QuickBooks or financial administration is a plus.
