Job description

PrepMD is a cardiac healthcare solutions company delivering device-management services, clinical staffing, and education to hospitals and physician practices nationwide. With a workforce distributed across many states, we are adding a hands-on HR Generalist to our Braintree, MA office to support the full employee lifecycle across our clinical and corporate teams.


This is a newly created role. Working alongside the Finance & HR Manager, you will be the day-to-day HR point of contact for employees and managers—owning core HR operations, employee relations, recruiting and onboarding, benefits support, and compliance in a HIPAA- and SOC 2-regulated environment. Beyond running day-to-day HR, you will help reorganize and build out the HR function itself—establishing and improving processes, policies, and programs as the department matures. This is an ideal role for an experienced generalist who enjoys wearing multiple hats, wants meaningful ownership rather than a narrow specialty, and is energized by shaping HR from the ground up.


HR Department Build-Out

  • Assess current HR processes, policies, and tools, and lead the reorganization and build-out of the department's offerings as PrepMD scales.
  • Establish, document, and standardize repeatable HR workflows across the employee lifecycle, and recommend new programs and self-service capabilities that improve the employee experience.
  • Partner with the Finance & HR Manager to prioritize initiatives and build HR infrastructure that scales with a growing, distributed workforce.


Employee Relations & Workforce Support

  • Serve as a primary HR contact for employees and managers, responding to questions on policies, benefits, and resources with responsiveness and discretion.
  • Address workplace concerns, conduct fair and consistent investigations, and support timely, well-documented resolution.
  • Partner with managers on performance management, attendance, and corrective action, coaching them toward practical and compliant outcomes.
  • Help foster a positive, respectful, and inclusive workplace across corporate and field-based teams.


Recruiting & Onboarding

  • Manage full-cycle recruiting for corporate and clinical roles—posting, sourcing, screening, interview coordination, and offer support—with hiring managers.
  • Assess staffing needs with department leaders and help maintain pipelines for recurring and hard-to-fill positions.
  • Lead onboarding and new-hire orientation so employees understand policies, culture, expectations, and compliance obligations from day one.
  • Coordinate pre-boarding—offer paperwork, background checks, credential verification, system access, and I-9 / E-Verify completion.
  • Develop and maintain accurate, market-aligned job descriptions.


HR Operations, HRIS & Multi-State Compliance

  • Own accurate employee data in Paylocity (new hires, status and compensation changes, leaves, terminations, training records), process HRIS transactions, and support payroll accuracy with the Finance & HR Manager.
  • Maintain compliance with federal and applicable state employment laws across the states in which PrepMD operates, and monitor regulatory changes to keep policies and handbooks current.
  • Support multi-state payroll tax setup, state registrations, and new-hire reporting in partnership with the Finance & HR Manager.
  • Safeguard the confidentiality of employee and PHI-adjacent data consistent with HIPAA and SOC 2 requirements.
  • Administer federal and state leave programs (FMLA, state paid leave, ADA accommodations), tracking eligibility, documentation, and return-to-work.
  • Assist with HR reporting, audits, EEO / ACA filings, and documentation requests.


Benefits & HR Programs

  • Support benefits administration with the Finance & HR Manager and external broker, including enrollments, changes, and terminations.
  • Coordinate annual open enrollment—employee communications, information sessions, and carrier and Paylocity setup.
  • Reconcile benefits enrollments against payroll deductions and carrier invoices, resolving discrepancies promptly.
  • Respond to employee questions on medical, dental, vision, life/AD&D, disability, and retirement programs.


Training & Development

  • Coordinate required training (harassment prevention, compliance, manager development) and track completion and certifications to maintain full compliance.


Qualifications & Experience

  • 4–7 years of progressive experience in an HR Generalist role.
  • Experience with Paylocity strongly preferred; comfort learning and administering HRIS platforms required.
  • Working knowledge of federal employment laws and experience supporting compliance across multiple states; comfort researching and applying state-specific requirements.
  • Experience in healthcare, life sciences, or another regulated (HIPAA / SOC 2) environment is a plus.
  • Excellent written and verbal communication, sound judgment, and strong problem-solving skills, with high integrity and proven discretion handling confidential information.
  • Superior attention to detail with the ability to manage multiple priorities and meet deadlines.
  • Proficiency with the Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Bachelor's degree in Human Resources, Business, or a related field; PHR, SPHR, or SHRM-CP / SHRM-SCP certification preferred.
