Job description

Summary

Protege Technical Solutions, a division of All Native Group and Ho Chunk, Incorporated, is seeking an exceptional Part-Time Facilities and Administrative Specialist to assist in the operations for the Navigation Training System Lab (NTSL) for ANG Orlando. Reporting directly to the NTSL PM, you will assist in managing the lab and provide cross-functional administrative assistance to the NTSL team.

Essential Functions

Facility Operations Support

  • Assist with the day-to-day management and operation of office and facility spaces.
  • Support facility readiness efforts including workspace organization, equipment staging, and operational inspections.
  • Assist with managing contractor access, visitor coordination, and workspace logistics.

Information Technology Asset Management

  • Label, inventory, and track equipment in accordance with organizational procedures.
  • Maintain accurate records of equipment assignments, locations, and lifecycle status.
  • Assist with organizing storage areas and ensuring equipment is accountable.
  • Move, package, and ship equipment and supplies between locations as required.
  • Assist with equipment deployment, relocation, and surplus disposition activities.

Meeting and Administrative Support

  • Assist with preparation and setting up for meetings, stakeholder visits, and special events.
  • Prepare meeting spaces, presentation materials, and supporting documentation.
  • Record meeting minutes, action items, and follow-up tasks during meetings.

Documentation and Record Management

  • Maintain accurate records, spreadsheets, inventories, and operational documentation.
  • Prepare reports and provide updates regarding facility operations and equipment status.
  • Assist with maintaining standard operating procedures and processing documentation.

Desired Qualifications

  • Experience supporting facility operations, or property management activities.
  • Familiarity with inventory control and asset management processes.
  • Experience handling, shipping, or receiving equipment and materials.
  • Strong organizational skills with exceptional attention to detail.
  • Proficiency with Microsoft Office applications, particularly Excel and Word.
  • Ability to prioritize multiple tasks and work independently with minimal supervision.
  • Excellent written and verbal communication skills.
  • Ability to lift and move equipment and supplies up to 50 pounds.

Preferred Qualifications

  • Experience working with facilities, maintenance, construction, or contractor coordination.
  • Familiarity with IT asset management systems or inventory tracking software.
  • Experience preparing meeting minutes and supporting executive or project meetings.
  • Technical aptitude related to equipment troubleshooting or facility systems.

Physical Demands

The physical demands are typical of facility management positions, with the requirement to lift and move equipment and supplies up to 50 pounds. While performing the duties of this job, the employee is regularly required to talk or hear.ย

Experience

3+ years of experience in administrative support or office management, preferably within a Department of Defense (DoD) secure facility or a multi-program environment.ย

Additional Eligibility Qualifications

High proficiency in Microsoft Office Suite; exceptional writing skills for capturing complex technical meeting minutes and tracking action items.
