Job description

Essential Job Functions:
  • Receive, review and screen all work requests to ensure the scope of work is clearly described.
  • Check work orders to ensure the priority is realistic and provide practical lead time, cost and other coding for accuracy. Check for proper authorization of work requests.
  • Create a work order for all approved & needed requests. Refer all questionable or unapproved work requests to Maintenance Manager for approval.
  • Manage and maintain the Work Flow process (work identification, planning, scheduling, execution, and auditing).
  • Obtain blueprints, drawings, instruction manuals and special procedures, as needed, from files or job packets to clarify the intent of work orders.
  • Work closely with purchasing for timely delivery of parts and equipment.
  • Identify and obtain determinable materials, entering materials needed on work order(s).
  • Ensure safety needs are given a top priority in planning & scheduling.
  • Estimate each work order showing sequence of steps, number of technicians and required labor hours. Lists any special tools or equipment needed.
  • Estimate cost for each work order in terms of direct labor, materials required and total costs.
  • Maintain backlog of work orders with appropriate status codes.

  • Facilitate weekly Coordination Meeting with Operations to gain consensus on priorities, negotiate downtime windows and agree on the most effective use of available resources.

  • Communicate with operations to ensure equipment availability prior to scheduling.
  • Coordinate with operations and engineering staff to resolve bottlenecks and/or problems
  • Have a complete knowledge of the PM & Planned workload. Provide and publish a weekly work schedule. Ensure the schedule balances with the hours available & each person is fully loaded.
  • Schedule every minute of every workday for each technician.
  • Carefully review completed schedules & capture all appropriate comments in the database.
  • Avoid waste and misuse of product & materials.
  • Assist with maintaining effective inventory levels & turns
  • Oversee BOM inventories.
  • Use reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches.
  • Review actual vs. estimated labor & materials for completed jobs, to determine corrective measures to improve the accuracy of estimating & improving methods.
  • Network with other sites to establish best practices
  • Customer liaison for non-emergency work
  • Provide feedback to technicians and Maintenance Manager on technician performance.
  • Maintain necessary records & files. Report meaningful & accurate control reports and KPIs.

Desired Previous Job Experience:
  • Management & operational experience, knowledge of systems
  • Knowledge of Microsoft programs (Excel, Word, and Access)
  • Proactive Maintenance experience

Physical Demands:
  • Regularly required to do the following activities:
    • Walk, bending, twisting, squatting up to 80% of your time.
    • Able to work in temperature-controlled areas negative -14 degrees, 34 degree, and ambient temperature up to 80% of your time.
    • Talk and hear.
    • Must not have a fear of heights.
    • Climb stairs and/or ladders; twist upper torso, stoop, kneel, crouch and/or crawl.
    • Reach up and out with hands and arms.
    • Lift up to 80 pounds and carry for short distance.
    • Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
