About the Role:
We are looking for a detail-oriented and dependable Yard Clerk to support daily operations at our transportation yard. This is a critical support role responsible for the accurate tracking, documentation, and communication of trailer and equipment activity throughout the yard. The Yard Clerk serves as the administrative backbone of yard operations, ensuring that all records are current, drivers are properly checked in and out, and the operation runs smoothly from a documentation standpoint.
This position requires someone who is organized, communicates clearly, and takes ownership of their responsibilities. Accuracy and attention to detail are essential, as the information managed by this role directly impacts scheduling, dispatch, and customer commitments.
What You Will Be Responsible For:

Trailer & Equipment Tracking:
  • Monitor and record the movement, placement, and status of trailers and equipment throughout the yard.
  • Maintain accurate, real-time logs of trailer locations, seal numbers, load statuses, and departure and arrival times.
  • Conduct regular yard checks to verify trailer counts and locations, reconciling any discrepancies immediately.
  • Coordinate with drivers and yard personnel to ensure trailers are staged and tracked according to operational requirements.

Documentation & Recordkeeping:
  • Process and verify Bills of Lading, gate logs, check-in and check-out records, and other shipping documentation.
  • Enter accurate data into transportation management systems (TMS) or yard management systems in a timely manner.
  • Maintain organized filing systems for all paperwork, both physical and electronic.
  • Identify and resolve documentation errors or missing information before they impact operations.

Driver Check-In & Communication:
  • Serve as the primary point of contact for drivers checking in and out of the yard.
  • Verify driver credentials, appointments, and load assignments at the gate or check-in area.
  • Communicate clearly and professionally with drivers, dispatchers, and internal teams regarding trailer assignments and yard status.
  • Escalate issues or discrepancies to the supervisor promptly.

Operational Support:
  • Support the yard team with administrative tasks as needed, including appointment scheduling and reporting.
  • Assist in generating daily yard reports and shift summaries for management review.
  • Maintain a clean, organized, and professional work area.
  • Adhere to all company safety policies and yard access procedures.

What We Are Looking For:
  • Experience & Background:
  • Prior experience in a transportation, logistics, or warehouse environment preferred.
  • Familiarity with yard operations, freight documentation, or transportation management systems a plus.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and ability to learn internal systems quickly.
  • Strong data entry skills with a high level of accuracy.
