Toronto Animal Services is seeking an organized and enthusiastic Event Coordinator to support community engagement initiatives across the city.  This role combines event coordination and overall program support representing Toronto Animal Services at all events and activities that connect residents with its programs and services.

You will coordinate event logistics, review applications, schedule resources, liaise with staff, community partners and members of the public, and support the successful delivery of events and outreach activities.  In addition to attending and supporting events, you will contribute to a broad range of Partnerships initiatives, including fundraising activities, volunteer and foster programs, and social media content development in collaboration with the Web Content Coordinator.  Many of these events involve animals, and the successful candidate will regularly have direct interaction with animals both within Toronto Animal Services facilities and at community events.

As this role supports events across the city, regular evening and weekend work will be required as needed.  The successful candidate will combine strong organizational and administrative skills with a commitment to customer service, community engagement and supporting the wellbeing of animals.

Major Responsibilities:

• Co-ordinates the safe delivery of special events to the public.
• Receives and evaluates event applications based on program criteria
• Liaises with applications/special interest groups, other units and/or divisions when coordinating events.
• Co-ordinates and schedules events and staff.
• Operates various office equipment to input, update and maintain schedules, event information, correspondence and related databases.
• Checks event locations to determine site feasibility and determine equipment requirements.  Ensures the location, equipment and supplies meet health and safety and legislative standards and completes required inspections
• Ensures materials, equipment and supplies are available, clean and in safe working order.
• Orders supply and maintain inventory.
• Co-ordinates requests, maintenance, inspection, cleaning and repair of equipment.
• Delivers, sets up and disassembles displays and equipment.
• Completes reports and statistical information related to events
• Makes recommendations regarding event coordination, policies and procedures.
  

Key Qualifications:

Your application must describe your qualifications as they relate to:

1. Post-secondary education in Event Management or Community Development or a related discipline, or an equivalent combination of education and experience.
2. Experience providing administrative and project coordination support, including managing multiple priorities, schedules, timelines, records and related documentation.
3. Experience coordinating events, outreach activities or community-based initiatives, including logistics, scheduling, stakeholder coordination and on-site event support.
4. Experience preparing, maintaining and processing administrative documentation, including correspondence, reports, records, applications, schedules and statistical information.
5.  Considerable experience using Microsoft Office applications, including Word, Excel, Outlook and PowerPoint, as well as database and information management systems.
6. Experience liaising with internal and external stakeholders, community organizations, vendors and members of the public, responding to inquiries and coordinating requests related to programs, services or events.
7. Experience working with animals or demonstrated ability and comfort interacting with animals in a professional, volunteer or community-based setting, while supporting their care, handling and wellbeing.
8. Ability to organize and prioritize a high volume of work, manage competing priorities and meet deadlines in a fast-paced environment.
9. Highly developed interpersonal, customer service, oral and written communication skills, with the ability to communicate effectively with diverse stakeholders and the public.
10. Strong organizational skills and attention to detail, with the ability to maintain accurate records and ensure administrative processes are completed in accordance with established procedures and timelines.
11. Ability to interpret and apply policies, procedures, guidelines and program requirements when reviewing applications, coordinating activities and responding to inquiries.
12. Ability to work independently and collaboratively as a member of a team, exercising sound judgment, tact and discretion.
    

You must also have:

• A valid province of Ontario class "G" driver's license, maintained in good standing, and the ability to obtain the required City Operator's Permit for assigned vehicles and equipment.
• The ability to travel to various sites and or work locations throughout the City of Toronto.
• Strong interpersonal skills, with a demonstrated ability to communicate effectively, establish and maintain collaborative relationships with internal and external stakeholders, vendors, and partners.
• Proven ability to take initiative, work independently, and stay current with emerging trends and practices.
• Delivering superior customer service, performance quality and continuous improvement.
• Strong problem solving and analytical skills, with the ability to respond to competing priorities in a fast-paced, results oriented team environment.
• Ability to interact confidently, safely and compassionately with animals in both shelter and community-based settings, including during events, outreach activities and public engagements.
• Knowledge of animal welfare practices, pet care, and familiarity with common domestic and wildlife species including dog and cat breeds.
• Training or certification related to animal care, animal handling, animal behaviour, veterinary assistance, or a related field would be considered an asset.
• Knowledge of relevant government legislation, including the municipal Freedom of Information and protection of privacy act (MFIPPA)
