Workflow Optimization specialists focus on analyzing and improving existing processes to enhance efficiency, often using specific methodologies like Lean or Six Sigma. Business Analysts, on the other hand, evaluate business needs, gather requirements, and recommend solutions, which may include process improvements but also encompass broader system and strategy analysis. While both roles aim to improve organizational performance, Workflow Optimization is more specialized in process enhancement, whereas Business Analysts have a wider scope including system and project analysis.

Job description

Role Summary
We are looking for a Junior Systems Optimization Analyst who is early in their career but ready to take on high ownership and real impact.
This role sits at the intersection of systems, operations, and data, and is ideal for someone who enjoys solving real business problems—not just writing code in isolation. You will work closely with cross-functional teams to understand how the business operates end-to-end, identify gaps, and develop solutions that improve efficiency, accuracy, and scalability.
This is not a siloed development role. Success in this position requires strong systems thinking, curiosity about operations, and the ability to translate business needs into practical, scalable solutions.
Key Responsibilities
  • Manage and support data entry and reporting workflows across operational systems
  • Analyze and evaluate existing reporting systems, data pipelines, and workflows
  • Research, design, configure, and maintain automated reporting and operational processes
  • Monitor data integrity and system outputs, ensuring accuracy and reliability
  • Troubleshoot system issues and implement sustainable fixes—not just quick patches
  • Identify gaps in workflows and recommend process and system enhancements
  • Assist in building structured performance reporting frameworks tied to business metrics
  • Develop and maintain clear SOPs and documentation for systems and processes
  • Support ongoing maintenance, updates, and improvements of internal tools
  • Collaborate cross-functionally to understand needs and deliver solutions wholistically
  • Maintain strict confidentiality and integrity of data and systems

Technical Requirements
Core Tools & Technologies:
  • MS Access VBA (RMA system support)
  • SQL (development, querying, and automation scripts)
  • Power BI (DAX, dashboards, reporting)
  • Power Automate (workflows integrating SharePoint and SQL)
  • Power Apps (operational tools such as pick/pack systems)

Programming & Development:
  • C# and/or Python (working knowledge)
  • Experience with rapid development tools (e.g., Replit or similar)

Emerging Technologies:
  • Practical understanding of AI tools, LLMs, and automation agents
  • Ability to identify opportunities to apply AI to improve workflows

Soft Skills & Mindset
  • Systems thinker: Able to see how processes connect across teams—not just individual tasks
  • Business-aware: Takes time to understand how the company operates before building solutions
  • Data-driven: Uses data to validate assumptions and guide decisions
  • Detail-oriented: Strong focus on accuracy, consistency, and data integrity
  • Ownership mindset: Takes responsibility for outcomes, not just assigned tasks
  • Problem solver: Focuses on root causes and scalable fixes rather than quick workarounds
  • User-focused: Builds solutions that work for the business—not just what is easiest to develop
  • Adaptable and action-oriented: Comfortable working in a fast-paced, evolving environment
  • Strong communicator: Able to document clearly and collaborate across technical and non-technical teams

Preferred Qualifications (Nice to Have)
  • Familiarity with SharePoint-based workflows and database integrations
  • Exposure to automation tools (Power Platform, Zapier, etc.) and AI implementations
  • Experience working in a lean or process-driven organization
  • Basic understanding of reporting frameworks and performance metrics
