Position Summary
Our client is hiring an Office Manager! The Office Manager is responsible for overseeing the daily administrative and operational functions of a small accounting firm. This role ensures efficient office operations, supports partners and staff, manages client service processes, coordinates human resources activities, and maintains compliance with firm policies and procedures. The ideal candidate is highly organized, detail-oriented, professional, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
Office Administration
- Manage day-to-day office operations and administrative functions.
- Maintain office systems, procedures, and records.
- Coordinate office supplies, equipment maintenance, and vendor relationships.
- Oversee reception and client communications.
- Ensure a professional and welcoming office environment.
- Maintain and stock kitchen and common areas.
Client Service & Practice Management
- Coordinate client onboarding and engagement documentation.
- Monitor workflow and deadlines for tax, accounting, and advisory services.
- Manage all aspects of tax return e-filing.
- Assist with client billing, collections, and engagement tracking.
- Maintain client databases and document management systems.
- Support partners and managers in delivering exceptional client service.
Financial & Operational Management
- Manage vendor contracts and service agreements.
- Monitor office expenses and identify cost-saving opportunities.
Technology & Compliance
- Serve as liaison with IT providers and software vendors.
- Coordinate software updates and staff training as needed.
Qualifications
- Associate's or Bachelor's degree in Business Administration, Accounting, Human Resources, or related field preferred, but not required.
- Experience with workflow management and professional services software preferred.
- 3–5 years of office management experience, preferably in an accounting, tax, legal, or professional services environment.
- Strong proficiency with Microsoft Office Suite and practice management software.
- Excellent organizational, communication, and problem-solving skills.
- Ability to handle confidential information with discretion.
