Position Overview:

The Workers' Compensation Supervisor at OrthoArkansas leads the day-to-day operations of the Workers' Compensation Department, providing direct supervision to the Workers' Compensation Liaisons and Coordinators while maintaining an active liaison caseload. This position is responsible for the performance, development, and consistency of the department, overseeing workflows, ensuring timely access to care for injured workers, and serving as the senior point of escalation for complex cases. In addition to leading the team, the Supervisor continues to coordinate authorizations, scheduling, documentation, and communication for assigned workers' compensation patients, modeling the standards expected of the department. The Workers' Compensation Supervisor plays a central role in advancing the success and reputation of the OrthoArkansas Workers' Compensation Program.

Key Responsibilities:

  1. Team Leadership & Supervision
    • Supervise, coach, and develop the Workers' Compensation Liaisons and Coordinators, fostering a collaborative and high-performing team.
    • Manage and approve department schedules, timecards, and time-off requests.
    • Conduct performance evaluations and provide regular, ongoing feedback aligned with OrthoArkansas' core values and performance standards.
    • Onboard, train, and cross-train department staff to ensure consistent knowledge of workers' compensation processes and requirements.
    • Serve as the senior point of escalation for issues involving patients, adjusters, nurse case managers, employers, and providers.
    • Ensure consistent and compliant application of OrthoArkansas policies and procedures across the department.
  2. Department Operations & Workflow
    • Develop, oversee, and continuously improve workflows within the Workers' Compensation Department and in coordination with other departments.
    • Monitor key performance indicators such as authorization turnaround times, scheduling timeliness, and documentation accuracy, addressing gaps proactively.
    • Submit weekly deposits for the Workers' Compensation Department.
    • Ensure department recordkeeping and communications remain accurate, timely, and compliant with HIPAA and organizational policies.
    • Support department initiatives designed to improve efficiency, service quality, and referral partner satisfaction.
  3. Workers' Compensation Liaison Responsibilities
    • Maintain an assigned caseload of workers' compensation patients, coordinating timely and appropriate care.
    • Obtain pre-certification and authorization approvals for imaging, procedures, surgeries, and other services as required by individual carriers.
    • Schedule and reschedule workers' compensation appointments and coordinate logistics with adjusters, nurse case managers, employers, and patients.
    • Provide office notes, medical records, operative reports, and other documentation to nurse case managers, adjusters, and authorized parties.
    • Organize, invoice, and collect payment for depositions, Independent Medical Evaluations (IMEs), form completion requests, and second opinion visits.
    • Assist injured workers with information needed to facilitate timely treatment and recovery.
  4. Relationship Management & Program Development
    • Develop and maintain professional relationships with nurse case managers, adjusters, employers, insurance representatives, and referral sources.
    • Promote and market the OrthoArkansas Workers' Compensation Program through site visits, conferences, lunch-and-learn events, and community outreach opportunities.
    • Educate physicians and staff regarding workers' compensation procedures, requirements, and best practices.
    • Identify and lead opportunities to strengthen referral relationships and improve service delivery across the program.
  5. Additional Responsibilities
    • Perform other related duties as assigned to support the Workers' Compensation Department and overall organizational goals.

Qualifications:

  • Education & Experience:
    • High school diploma or GED required.
    • Specialized training in healthcare administration, insurance coordination, medical office operations, or a related field preferred.
    • Minimum of 3 years of workers' compensation experience required.
    • Prior experience as a Workers' Compensation Liaison or similar role strongly preferred.
    • Minimum of 1 year of supervisory, team lead, or comparable leadership experience required.
    • Demonstrated proficiency in authorizations, scheduling, documentation management, and workers' compensation case coordination.
  • Skills & Abilities:
    • Proven ability to lead, coach, and develop employees in a fast-paced healthcare environment.
    • Strong organizational skills with the ability to oversee multiple priorities, staff members, and patient cases simultaneously.
    • Excellent communication and interpersonal skills for effective interaction with patients, providers, employers, adjusters, nurse case managers, and staff.
    • Strong problem-solving and decision-making skills with the ability to resolve escalated issues professionally and efficiently.
    • Thorough understanding of workers' compensation processes, insurance requirements, and authorization procedures.
    • Ability to maintain confidentiality and ensure compliance with HIPAA and organizational policies.
    • Strong attention to detail and commitment to delivering exceptional customer service.
  • Software Skills:
    • Basic: 10-Key, Alphanumeric Data Entry, Spreadsheet, Word Processing/Typing.
    • Preferred: Electronic Health Records (EHR), scheduling software, insurance authorization platforms, and Microsoft Office applications.
