Job description

Job Summary
The Work Order Administrator will monitor work orders for accuracy and efficiency of hours, identify parts issues and expedite corrective action as needed. As jobs progress toward completion, the Work Order Administrator will complete work orders for review by the Job Manager(s). In addition, the Work Order Administrator handles all warranty claims and accounts related to jobs assigned.   
 
Duties & Responsibilities
  • Review the work orders to ensure accurate billing and warranty information
  • Prepare discrepancy lists to be sent out for customer approval
  • Monitor work orders and customer approval sheets for accurate information
  • Ensure all work order items are posted to correct general ledger accounts
  • Ensure key performance indicators are captured/reported (efficiency, cost profit, EBR, warranty)
  • Proof work orders to ensure all information is accurate (flat rate, pricing, etc.)
  • Close work orders in a timely manner after completion
  • Create work orders from customer quotations 
  • Ensure accuracy of warranty billing information on work orders
  • Filing and handling of warranty claims and parts for jobs and accounts assigned
  • Prepare warranty statement of account adjustments for approval from management
  • Issue proforma invoices as required
  • Process credit card payments and credits as necessary
  • Perform other duties as assigned
Qualifications & Job Requirements
  • Minimum two (2) years’ experience in corporate aviation 
  • Minimum two (2) years’ experience in an administrative role
  • Strong proficiency with Microsoft Office Suite including Word and Excel
Education: 
  • Bachelor’s Degree preferred 
Other Prerequisites
  • Pass pre-employment drug screen and background check
  • Ability to obtain Airport Issued security badge
Work Environment & Physical Requirements
  • Work is performed in an aircraft hangar environment with moderate noise level. The employee is frequently subject to inside environmental conditions, which provide protection from weather conditions but not necessarily from temperature changes. Ability to lift and carry up to 50 pounds.  Must be able to wear a respirator or air hood, and work in a confined environment.
