Manager, Facilities
Job Description:
We are seeking a highly skilled Facilities Manager to lead day-to-day soft-services and workplace operations across HQ, Co|Lab, and The Shed. This role is accountable for service quality, vendors, workplace programs, event and move planning, logistics controls, operating budgets, facilities safety administration, and team performance. The Manager directly supervises multiple direct reports; partners with Building Engineering on technical issues, outages, and integrated building response; and serves on HITT's emergency response team. This position reports to the Facilities Director.
RESPONSIBILITIES
Soft Services & Integrated Building Operations
  • Manage daily soft-services operations across HQ, Co|Lab, and The Shed and maintain safe, functional, clean, and service-ready workplaces.
  • Define daily and weekly priorities for the soft-services team, resolve resource conflicts, and monitor service-level performance.
  • Coordinate with Building Engineering on technical repairs, preventive maintenance, infrastructure condition, planned outages, and emergencies.
  • Provide 24/7 on-call leadership for critical building incidents affecting safety, operations, or occupancy and activate the appropriate technical, safety, security, or vendor response.
  • Ensure operational changes are captured and routed to the Facilities Administrator for records and drawing-file updates.

Vendor & Contract Performance
  • Own relationships, scopes, commercial performance, and service levels for recurring vendors, including janitorial, landscaping, pest control, waste, recycling, composting, snow removal, window cleaning, security support, and location-specific services.
  • Lead RFP/RFQ processes, evaluate proposals, negotiate operating terms, and recommend awards to the Director.
  • Approve vendor onboarding and confirm required insurance, licenses, safety documentation, and access requirements before work begins.
  • Review performance, inspect outcomes, manage corrective actions, and escalate, replace, or terminate underperforming vendors within authority.
  • Review vendor renewal recommendations and expiration reports; decide renewal strategy and commercial action.

Contractor Oversight & Project Coordination
  • Oversee contractors and on-site facilities activity for scope, schedule, budget, safety, disruption control, and HITT quality expectations.
  • Approve contractor access plans, work windows, badging, and safety orientation requirements; assign day-of site coordination when appropriate.
  • Inspect and accept work, manage punch lists, and authorize invoice release after completion requirements are met.
  • Support Director-led capital projects through site coordination and partner with Building Engineering.

Workplace Services, Events & Moves
  • Own facilities service levels, priorities, and resource plans for internal and client-facing events, new-hire readiness, departures, and office moves.
  • Approve event and move plans developed with stakeholders; assign field coordination to the appropriate direct report.
  • Maintain oversight of the master event and move calendar, which the Facilities Administrator supports administratively.

Logistics & Inventory Governance
  • Manage the Loading Dock team member, who is accountable for routine receiving, shipping, warehouse safety, PPE orders, and central inventory transactions.
  • Ensure planned backup coverage through Facilities resources without creating a second routine receiving process.

Financial Management
  • Coordinates HQ operating budgets and capital forecasts within the Director's approved framework.
  • Validate vendor invoices against approved scope, purchase orders, service completion, and contract terms.
  • Review quarterly operating results, explain variances, update forecasts, and present corrective actions to the Director.
  • Implement cost-reduction and productivity initiatives without compromising service, safety, or workplace quality.

Safety, Security & Compliance Administration
  • Administer facilities safety, accessibility, security, and emergency-preparedness programs in accordance with standards set by the Director and partner functions.
  • Own corrective action for facilities-related OSHA, ADA, fire-code, and local-code issues
  • Serve on HITT's emergency response team and support drills, evacuation planning, and incident response.
  • Oversee access control, badges, keys, visitor protocols, and security-system service.

Team Leadership
  • Set role-specific goals, conduct one-on-ones and performance reviews, manage schedules and coverage, and provide development opportunities.
  • Clarify decision rights and handoffs so coordination by Facilities team members does not become an informal reporting line.
  • Coordinate service delivery with Building Engineering, IT, Human Resources, Safety, Events, and Administrative Services.

QUALIFICATIONS
  • Bachelor's degree in Facilities Management, Engineering, Business Administration, or a related field preferred; equivalent experience considered.
  • 5-8 years of progressive facilities management experience, including at least 2 years managing facilities of 100,000+ SF.
  • Demonstrated experience managing multi-vendor service contracts, leading competitive bids, and enforcing service levels.
  • Experience coordinating corporate events, workplace services, moves, and team member-facing operations for a sizable population.
  • Proficiency in reading and interpreting construction project-related drawings.
  • Excellent communication skills and the ability to collaborate effectively with contractors, vendors, and internal stakeholders.
  • Dedication to customer service and tenant satisfaction.
  • Adaptability to handle emergencies and unexpected situations.
  • Experience with Tool Watch or an equivalent inventory/asset platform preferred.
  • Valid driver's license and clean Motor Vehicle Record required.
  • 24/7 on-call availability for building emergencies required.
  • Ability to lift up to 50 lbs and conduct regular building walkthroughs across all Falls Church, VA locations.
  • OSHA 30-hour certification required or willingness to obtain within 6 months.
  • Bilingual English/Spanish preferred.

In accordance with Virginia Senate Bill 215 (SB 215), the base salary range for this position is:
$95,000.00 - $140,000.00
Compensation in other cities and states may vary. HITT Contracting offers a competitive total benefits and compensation package including performance-based bonuses, premium health care coverage including vision and dental, employer-matched 401(k), wellness reimbursement program, paid holidays and time-off, and other voluntary benefits and leave types. The determination of salary is based on the candidate's individual professional experience, qualifications, education, skills, and training.
