Job description

Organization Overview 

The School of American Ballet (SAB) at Lincoln Center, founded by George Balanchine and Lincoln Kirstein, is the preeminent ballet school in the country. Our mission is to train professional dancers for careers in classical ballet. We provide the resources for a diverse pool of students to train at the highest level – with 15-25 a year going on to dance for New York City Ballet, our official but independent ballet company, and other major ballet companies worldwide. SAB has a far-reaching impact on the art form and enriches the lives of each student who comes through its doors, over 800 annually, ages 6 to 18. SAB has approximately 90 part- and full-time employees and an operating budget of $17 million.

Position Summary

The Wellness Program Assistant provides administrative and programmatic support to SAB's Wellness Team. Working closely with the Head of Artistic Health and Wellness, the Wellness Program Assistant helps coordinate scheduling, communications, events, supplies, and other day-to-day activities that support the efficient operation of the Wellness Department and its services to students and families. This is a non-exempt, part-time position reporting to the Head of Artistic Health and Wellness.

Essential Duties and Responsibilities

  • Provide administrative and organizational support to the Head of Artistic Health and Wellness and the Wellness Team.
  • Track Wellness Team hours and maintain related departmental records.
  • Manage the Wellness Team's My Booking page, including maintaining appointment availability and coordinating student scheduling with the Artistic Department.
  • Coordinate administrative and logistical needs for Wellness Team events, workshops, and other programming.
  • Coordinate scheduling and logistics for guest wellness professionals, including space, access, materials, and communication with relevant SAB departments.
  • Facilitate the ordering of Wellness Team supplies and maintain an organized inventory of departmental materials.
  • Respond to routine parent and guardian inquiries regarding Wellness services, scheduling, and programming, referring sensitive, clinical, or complex matters to the appropriate Wellness Team professional.
  • Assist with departmental communications, calendars, files, and other Wellness Team resources.
  • Collaborate with colleagues across SAB to support effective coordination and communication of Wellness services and programming.
  • Maintain appropriate confidentiality and exercise discretion when handling student and family information.
  • Perform other related duties as assigned.

Requirements

  • Strong organizational skills and attention to detail.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to coordinate multiple schedules, priorities, and deadlines.
  • Ability to communicate professionally and effectively with students, families, colleagues, and outside professionals.
  • Demonstrated discretion and ability to appropriately handle confidential and sensitive information.
  • Proficiency with Microsoft Office (specifically Excel), scheduling platforms, or comparable applications.
  • Ability to work both independently and collaboratively and exercise sound judgment regarding when matters should be referred to a supervisor or Wellness Team professional.
  • Prior administrative or program support experience in an educational, wellness, performing arts, healthcare, or youth-serving environment preferred.

Benefits

This is a part-time, non-exempt position scheduled for approximately 15 hours per week, Monday through Friday. The specific schedule will be established based on departmental needs. The position is compensated at $30.00 per hour.
