POSITION SUMMARY
The Welcome Center is an inviting space to welcome and service visitors in a fast, friendly, and efficient manner. The Welcome Center Coordinator is a fulltime unclassified position. The position involves, but isn't limited to: overseeing daily operations, marketing, and implementation of the Welcome Center; developing and training Center employees; and maintaining the highest possible level of customer service.
This person is accountable for delivering a favorable first impression to visitors, phone callers, and others, and performs a host of customer service and administrative duties that support the University's efforts to connect and engage the internal and external customers via incoming calls and inquiries regarding admissions into the University and application process; direct inquiries about campus programs and campus life; is responsible for meeting, greeting and providing assistance to prospective students, alumni, and special guests in the Welcome & Intake Centers and at the mobile Kiosks.
The Welcome Center Coordinator will assist with enrollment services by researching basic inquiry questions from students in the Banner system. This individual will assist with and support Recruitment and Enrollment Services during Fall & Spring Registration, campus tours, commencement etc., and represent the college at on & off-campus events as needed.
RESPONSIBILITIES:
The Welcome Center Coordinator would be responsible for performing the following duties:
  • Meet, greet, and help prospective and current students, alumni, and special guests in the Welcome Center and at the mobile Kiosks.
  • Support students through the Enrollment Management process (Registration, Research initial status of Application/ Enrollment, Student Banner, Moodle, and Canvas, Connect individual to appropriate campus services.)
  • Work with the Recruitment Office to actively communicate with prospective students and parents by email, phone, and text messaging for recruitment into the university to ensure that important application steps are reached.
  • Multi-tasking, face-to-face interactions, and phone inquiries in a busy environment and taking initiative to ensure effortless office functions.
  • Provide information about programs, activities, and special events.
  • Assist students with the use of interactive Kiosks.
  • Serve as front line Ambassador representing the university in a positive manner.
  • Represent the college at on & off-campus events as needed
  • Coordinate research and implementation activities of the Welcome Center
  • Handles and resolves student issues and concerns and informs supervisor/leadership of unusual situations or unresolved issues.
  • Collect bids and quotes for contract services, supplies, and equipment for the Center
  • Assist with development of marketing and other written material, presentations, contact lists, and correspondence for Welcome Center
  • Hire, train, and manage part-time employees and student workers in the Center
  • Design and implement guest service procedures to proactively greet and assist guests visiting or calling the Center and maintain service standards
  • Serve as a first-line responder for students entering or calling the center with inquiries by researching basic questions in the Banner system.
  • Provide courteous and professional interaction and correspondence with internal and external partners including; faculty & staff, alumni, and community stakeholders
  • Create and update spreadsheets and departmental reports
  • Process and track Purchase Requests
  • Submit weekly and monthly activity / accountability reports in a timely fashion
  • Schedule meetings and secure meeting spaces
  • Ensure backup support is provided for University phones as needed to serve callers.
  • Perform other office duties as assigned and/or needed.
REQUIRED EDUCATION AND EXPERIENCE:
  • Possess an Associate Degree from an accredited college or university
  • Possess three to five years of work experience in college, university or similarly complex organization or an equivalent mixture of post-secondary education and relevant work experience
  • General knowledge or experience in working in Banner software
  • Specific knowledge or experience in database software management
  • Demonstrate proficiency in working in Microsoft Word, Excel, and Outlook
  • Possess the ability to work independently and in a team environment
  • Ability to maintain confidentiality and demonstrate knowledge and understanding of ethics in data collection and analysis
  • Possess strong attention to detail is essential
  • Possess strong ability to manage multiple projects simultaneously
  • Possess exceptional customer service skills
  • Must be dependable.
PREFERRED QUALIFICATIONS:
  • Possess Bachelor's Degree, or the equivalent in experience and
  • Customer/guest service center management background
  • Work experience in Higher Education Advancement Office setting
  • Proficient in managing database software systems
  • Familiarity with posting on various social media platforms
