Position Overview

Polaris Rehabilitation & Care Center is seeking a friendly, dependable, and professional Weekend Receptionist to join our team in Cheyenne, Wyoming.

The Weekend Receptionist serves as the primary point of contact at the front desk and plays an important role in creating a welcoming, organized, and professional environment throughout the facility.

This position is responsible for greeting and assisting residents, families, visitors, employees, applicants, vendors, and other guests; answering and directing telephone calls; providing general administrative support; and assisting facility leadership with front-office responsibilities.

Because this position provides weekend front-desk coverage, dependability and consistent weekend availability are essential.

Key ResponsibilitiesReception & Customer Service
  • Greet residents, families, visitors, employees, applicants, vendors, and community partners in a friendly and professional manner

  • Create a positive and welcoming first impression for everyone entering the facility

  • Assist visitors with general questions and direct them to the appropriate department or team member

  • Provide courteous and professional customer service in person and over the telephone

  • Maintain awareness of activity within the front entrance and reception area

  • Assist residents and families with general non-clinical questions and direct clinical concerns to the appropriate nursing or leadership team member

  • Help maintain a welcoming environment where residents and families feel valued and cared for

Telephone & Front Desk Operations
  • Answer incoming telephone calls promptly and professionally

  • Direct calls to the appropriate department or employee

  • Take accurate messages and ensure they are communicated appropriately

  • Monitor the front desk and main entrance during assigned hours

  • Assist with visitor sign-in and other established entrance procedures

  • Receive deliveries and notify appropriate departments

  • Maintain an organized, clean, and professional reception area

  • Follow established procedures for handling inquiries and requests for information

Administrative Support
  • Assist with general clerical and administrative responsibilities as assigned

  • Organize, copy, scan, file, and distribute documents

  • Assist with preparing packets, forms, correspondence, and other facility materials

  • Receive and distribute mail, packages, and internal communications

  • Maintain appropriate front-desk logs and documentation

  • Assist facility leadership and department managers with administrative projects as assigned

  • Support weekend facility operations by communicating information to the appropriate team members

Resident & Family Experience
  • Develop positive and professional relationships with residents and families

  • Provide residents and visitors with assistance navigating the facility

  • Listen respectfully to resident and family questions or concerns and communicate them to the appropriate staff member

  • Maintain resident privacy, dignity, and confidentiality

  • Demonstrate patience, compassion, and professionalism when interacting with seniors and their families

  • Recognize that every front-desk interaction contributes to the overall resident and family experience

Safety & Confidentiality
  • Maintain confidentiality of resident, employee, and facility information

  • Follow applicable privacy requirements and facility confidentiality policies

  • Do not release resident or employee information without appropriate authorization

  • Follow facility visitor, security, emergency, and safety procedures

  • Promptly communicate unusual activity, safety concerns, or emergency situations to appropriate facility personnel

  • Maintain professional boundaries when handling sensitive information

Teamwork & Professionalism
  • Work collaboratively with nursing, administration, Human Resources, admissions, social services, dietary, activities, and other departments

  • Maintain dependable attendance and arrive on time and prepared for scheduled weekend shifts

  • Communicate professionally with residents, families, visitors, coworkers, and leadership

  • Demonstrate flexibility and willingness to assist with facility needs

  • Maintain a professional appearance and demeanor

  • Participate in required training and facility education

  • Perform additional receptionist and administrative responsibilities as assigned

Qualifications
  • High school diploma or equivalent preferred

  • Previous receptionist, front-desk, administrative, customer-service, hospitality, healthcare, or senior-living experience preferred but not required

  • Ability to consistently work the required weekend schedule

  • Excellent customer-service and interpersonal skills

  • Friendly, professional, and welcoming personality

  • Strong verbal and written communication skills

  • Dependable and punctual

  • Strong organizational skills and attention to detail

  • Ability to manage multiple responsibilities and interruptions professionally

  • Comfortable answering multi-line telephone systems and using standard office equipment
