Job description

Customer Service & Scheduling Representative

Wendle Motors in Spokane, WA is looking for a Customer Service & Scheduling Representative to join our Service Team. This is a phone-focused customer service and scheduling position responsible for helping customers schedule automotive service, answering service-related questions, conducting follow-up calls, and keeping our service appointment schedule organized.

A large portion of your day will be spent communicating with customers by phone, including handling incoming calls and making outbound calls. You'll work within our scheduling systems to identify customer needs, schedule service appointments, follow up with customers, and communicate important information to our Service Advisors.

If you enjoy talking with people, are comfortable spending much of your workday on the phone, and can manage a busy schedule while staying organized and professional, this may be a great fit.

Schedule & Pay

  • Full-time: Monday–Friday, 9:00 AM–6:00 PM
  • $19.00–$20.00 per hour

Responsibilities

  • Handle incoming service calls and assist customers with scheduling their vehicle service appointments.
  • Make outbound calls to follow up with customers, schedule future service, and support customer retention.
  • Manage and maintain service appointments using dealership scheduling systems.
  • Ask appropriate questions to understand customers' service needs and accurately document information for the Service Team.
  • Help maintain a steady service appointment pipeline by identifying and scheduling service opportunities.
  • Communicate with Service Advisors regarding customer concerns, appointment details, and expectations.
  • Respond to customer questions by phone, email, and online communication channels.
  • Follow up with customers regarding their service experience and help address customer concerns.
  • Maintain accurate and organized records of customer interactions and appointments.
  • Manage multiple calls, appointments, and customer needs while maintaining a sense of urgency and attention to detail.
  • Follow established processes to ensure consistent, professional customer service.
  • Work closely with other members of the Service Team to support department operations and an excellent customer experience.

Qualifications

  • At least one year of customer service experience.
  • Strong phone presence and the ability to communicate professionally and confidently with customers.
  • Comfortable handling a high volume of phone-based customer interactions throughout the workday.
  • Strong verbal and written communication skills.
  • Ability to multitask and stay organized in a fast-paced environment.
  • Strong attention to detail when entering customer and appointment information.
  • Ability to remain calm and professional when assisting frustrated or dissatisfied customers.
  • Comfortable using computers, scheduling systems, email, and other office software.
  • Ability to work collaboratively with coworkers and managers.
  • Typing efficiency and accurate data entry skills.

Automotive experience is a plus, but it is not required. We'll teach you the automotive service processes and terminology you need to be successful. Experience in a call center, appointment scheduling, customer support, receptionist, dispatch, BDC, or other phone-intensive customer service environment may translate well to this position.

What a Typical Day Looks Like
This is not primarily a traditional front-desk or receptionist position. Your day will center around phones, customer communication, and appointment scheduling. You'll move between incoming customer calls, outbound follow-up, scheduling appointments, documenting customer needs, and communicating with Service Advisors.

Success in this position means being able to have one customer conversation, document it accurately, move quickly to the next task, and continue providing friendly and professional service throughout a busy day.
