Job description

The gsKIDZ Ministry Assistant helps kids take a step closer to Jesus by supporting the ministry through database management, communication, volunteer coordination, and event execution. This role ensures systems and processes run smoothly while helping create a welcoming, well-organized environment for families and volunteers. Working closely with the gsKIDZ Director, the gsKIDZ Ministry Assistant contributes to a people-first ministry approach. The ideal candidate is detail-oriented, relational, and passionate about helping kids take their next step toward Jesus; weekend serving during one worship service is required.
AREAS OF RESPONSIBILITY:
  • Ministry Support
    • Create event registration forms for collaborative events between gsKIDZ and gsSHINE.
    • Submit necessary communication requests for both gsSHINE and gsKIDZ.
    • Process background checks and assign Child Safety Training for all new gsKIDZ ministry volunteers through ProtectMyMinistry.
    • Monitor background check and Child Safety Training expiration dates and update/communicate with ministry leaders as needed.
    • Perform general office tasks such as copying, printing, laminating, etc.
    • Support gsKIDZ and gsSHINE volunteer appreciation and training events.
    • Work with gsKIDZ Director on Child Dedication, baptism, and graduation events.
    • Support recruiting efforts for the gsKIDZ ministry.
    • Aid in the planning and execution of Parents Night Out, VBS, holiday, and other special events.

  • Database management
    • Ensure that all new families are entered correctly into the database system and that First-time Visitor cards are mailed to all new families.
    • Process Welcome Home Cards and forward to the proper ministry teams.
    • Manage the completion and mailing of birthday cards for all gsKIDZ and gsSHINE children/volunteers.
    • Compose and send out gsKIDZ ministry surveys as needed.
    • Distribute and collect attendance rosters for all gsKIDZ classes and update attendance rosters regularly to include current attendees.
    • Record weekly volunteer attendance in database.
    • Assign tasks for front desk volunteers (birthday cards and craft prep) as needed.
    • Create the appropriate groups in the database for ease of access for the gsKIDZ department.

  • Collaborative Work
    • Become proficient in gracespring's project management and communication systems (ie., mailchimp, ASANA, Planning Center Online, etc.).
    • Aid in ensuring alignment with gracespring's desire to put people before programs. Each phone call, interaction, or staff interaction can be a moment for people-care.
    • Serve at certain assigned events or programs as a member of the staff for the good and growth of the congregation.
