POSITION SUMMARY

The Grant Operations Systems Analyst will serve as the foundation's primary point of contact and resource for all Salesforce administration, support, and enhancements forย 80ย internal users andย 1000ย external users who are primarily grantseekers and grantee partners. This includes building andย maintainingย system objects,ย connectors,ย fields, dashboards,ย list views,ย workflows, reports, as well as conducting regular system testing and deployment of releases. The Systems Analyst will partner with other teams at Inatai to ensure that the databaseย and grantee portalย continuesย to meet the needs of internal and external stakeholders, including working toย identifyย and document updated business processes andย additionalย system requirements and features.ย They willย be responsible forย leading and conducting Salesforce trainingย and ongoing learningย for Inatai staff and grantees.ย 

This roleย will also focus on expandingย andย maintainingย the use of Salesforceย and any ofย itsย system integrationsย across departments to support key business functions, including the foundation's grantmaking processes, communications, operations management,ย events management,ย and CRM data and information. The Systems Analyst will collaborate across multiple teams at Inatai, contributing to our culture of service to both our teammates and grantees.ย Additionally, theyย will work to continually refine the foundation's Salesforce system and grantmaking process to further embody the foundation's values.ย

We currently have offices in Seattle and Pasco. Team members connected to an office are expected to work in the office. Team members may beย permittedย - withย supervisorย approval - to work remotely up to two days per week. Periodic early morning, evening, and weekend hours will beย required, and statewide and regional travel should be expected.ย 

PRIMARY RESPONSIBILITIES

Salesforce Administrationย 

  • Support end-users with ongoing business processes byย identifying, diagnosing, and resolving problems with Salesforce configuration, workflows, processes, and/or integrations.ย 
  • Perform ongoing maintenance and configuration tasks in Salesforce, including coordinating and undertaking testing of regular system updates and vendor releases.ย ย 
  • Maintainย and improve theย usability ofย Inatai'sย portal where grantseekers and grantees interact with the foundation.ย 
  • Manage and troubleshoot bugs and system malfunctions reported by users, includingย submittingย helpdesk tickets to Salesforce or other parties, andย trackย items through to resolution.ย 
  • Liaise with software vendors to implement enhancements and bug fixes, asย required.ย ย 
  • Implement andย maintainย Salesforce platform integrations, including Conga,ย DocuSign, and Sage Intacct.ย 
  • Develop andย maintainย complete system documentation detailing configuration decisions.ย ย 
  • Setup,ย maintain, and regularly review users, security settings, profiles, permission sets, and other system security settings/requirements, including provisioning staff and applicant/grantee user accountsย 

System and Process Improvementsย 

  • Perform discovery around new business needs, including documenting requirements, business process workflows, and customization specifications for development.ย 
  • Coordinate andย facilitateย project meetings to gather information from stakeholders about emerging user needs.ย 
  • Continually optimize the system's usability and design to ensure grant and CRM information is accessible and transparent across Inatai.ย 

Data Analysis and Reportingย 

  • Monitor andย maintainย dataย quality, andย socialize data quality standards with users throughย draftedย materials and direct training.ย 
  • Supportย grants dataย analysis,ย includingย producingย reports and developingย dashboards forย theย presentation of grant information, e.g., operational performance indicators such as processing times and volume analyses.ย 
  • Prepare grant-related schedules/reports for finance, audit, and tax purposes.ย 
  • Rapidly respond to inquiries from Inatai staff for data on grants and sponsorships.ย 

ย Management, Systems Training, and Other Responsibilitiesย 

  • Design and conduct onboarding/on-going system training for all users, including Inatai staff, grantseekers, andย granteesย 
  • Produce training materials and write technical instructions, asย required.ย 
  • Provide management support and mentoring to staff.ย 
  • Regularlyย participateย in Grantmaking Operations team meetings to ensure system functionalityย is meetingย user needs.ย 
  • Activelyย participateย in vendor user communities, e.g., Salesforce, PEAK Grantmaking, and TAG, andย identifyย and investigate system practices or new tools that provide added benefits to staff and/or applicants/grantees, including implementingย new technologyย systems as needed.ย 
  • Maintain overall technical knowledge of Salesforce products and best practices by attending Dreamforce,ย TAG,ย educational workshops, and reviewing release notes.ย 
  • Be a champion for the system while being a good thought partner and collaborator to fellow team members.ย Leanย into our culture of providingย excellentย customer service.ย ย ย 
  • Improve accessibility practices for external and internal users, particularly when it comes to providing Spanish translations of external forms and applications.ย 
  • Contribute one's own ideas, perspectives, and lived experiences to the emerging culture of theย foundationย 
  • Assume other responsibilities and explore new opportunities that arise with the evolving needs and aspirations of theย foundationย 

Requirements

QUALIFICATIONS

Workย experienceย 

  • Minimum required:ย At leastย threeย years of experience supporting Salesforce,ย with at least five years in a nonprofit and/or grantmaking organization.ย ย 
  • Experience working with users across multiple departments and configuring Salesforce to meet cross-departmental needs and varied business use cases.ย 

Specialized knowledge or technical skillsย neededย 

  • Experience managing Grants Management System (GMS) and Constituent Relationship Management (CRM) databases within Salesforce.ย 
  • Experience configuring and managing a Salesforce Experienceย Cloudportalย and external user accounts (e.g., grantees).ย 
  • Strong understanding of the Salesforce platform with the ability to build custom objects, fields, custom views, and other content of intermediateย complexityย 
  • Experience building and troubleshooting Salesforce automation,ย e.g.ย Flows.ย 
  • Advanced skills with Microsoft Office Suite.ย 
  • Significant experienceย cleaning, analyzing, visualizing, and presenting data and mapping process workflows.ย Strong senseย of how to depict data to show trends and tell stories.ย 
  • Strong knowledge of project management approaches and adept at using software and tools to plan, prioritize, and track project phases and assignments. Monday.com experience is a plus.ย 
  • Experience training staff to use systems, including strong technical writing skills, and the ability to develop useful learning tools and training materials.ย 

Education and/or certificationsย 

  • A Salesforce certification as an Administrator, Advanced Administrator, or Business Analyst is strongly preferred.ย

  • Enthusiasm for traveling throughout Washington and engaging with communities that may be different from your own (travel is estimatedย atย 20-25%ย for this position)ย

COMPENSATION

Salary ranges are set according to an explicit compensation policy, and relevant dataย are reviewedย when setting ranges for each position.ย The salary range for this position is $110,000ย to $130,000. A compensation enhancement is provided to employees with indigenous or advanced languageย proficiencyย in more than one language that theyย utilizeย to advance the Foundation's work across Washington.ย ย
