Position Summary

The Civil Project Coordinator plays a critical role in supporting Project Managers throughout all phases of civil and federal construction projects. This position is responsible for coordinating technical, administrative, and project control activities for infrastructure, site development, utility, environmental, roadway, and other civil construction projects from project startup through closeout.

The ideal candidate has experience supporting civil construction projects and possesses a strong understanding of construction documentation, engineering drawings, specifications, submittals, Requests for Information (RFIs), change orders, project controls, and contract compliance. This individual will work closely with Project Managers, field personnel, owners, subcontractors, engineers, and vendors to help ensure projects are completed safely, on schedule, within budget, and in accordance with contract requirements.


Essential Responsibilities

  • Coordinate project startup activities including startup checklists, scheduling kick-off meetings, and tracking project deliverables. 
  • Establish and maintain project file structures and document control systems. 
  • Develop and maintain project tracking logs for submittals, RFIs, change orders, budgets, schedules, and closeout documentation. 
  • Review civil construction plans, engineering drawings, specifications, and contract documents to identify project requirements and administrative deliverables. 
  • Create, edit, and maintain project submittal registers and coordinate all required project submittals. 
  • Prepare and coordinate preconstruction documentation including: 
  • Contractor Quality Control Plan 
  • Accident Prevention Plan 
  • Demolition Plan 
  • Environmental Protection Plan (including SWPPP when applicable) 
  • Waste Management Plan 
  • Generate and track project submittals for review by the Designer of Record and Owner. 
  • Coordinate with the Quality Control Manager regarding submittal approvals and compliance. 
  • Assist Project Managers in drafting subcontract agreements. 
  • Coordinate with subcontractors, suppliers, engineers, and equipment vendors to obtain required documentation and ensure compliance with project specifications. 
  • Track procurement activities and monitor material and equipment submittals. 
  • Create, maintain, and track RFIs. 
  • Process and track owner change orders and contract modifications. 
  • Assist with project budgeting and approved budget revisions. 
  • Support project scheduling by monitoring deliverables and identifying outstanding action items. 
  • Assist with project closeout documentation, warranties, operation and maintenance manuals, as-built documentation, and turnover requirements. 
  • Assist with preparation of DD1354 Transfer of Ownership documentation. 
  • Compile project information for project summaries and lessons learned. 
  • Perform other duties as assigned.

Reporting Structure

  • Reports to the Director of Project Controls
  • This position does not have direct reports.

Requirements

Required Skills 

  • Strong organizational, planning, and time management skills with exceptional attention to detail. 
  • Excellent verbal and written communication skills. 
  • Ability to interpret civil engineering plans, construction drawings, specifications, and contract documents. 
  • Knowledge of heavy civil construction practices, project sequencing, and construction administration. 
  • Understanding of construction submittals, RFIs, change orders, document control, project scheduling, and contract compliance. 
  • Ability to read and interpret CPM schedules. 
  • Strong interpersonal skills with the ability to collaborate effectively with project teams, engineers, clients, subcontractors, and field personnel. 
  • Experience supporting projects in accordance with quality control and safety requirements. 
  • Proficiency in Microsoft 365 applications. 
  • Ability to work independently while managing multiple priorities.

Education & Experience 

  • Bachelor's degree in Construction Management, Civil Engineering, Construction Engineering, Engineering Technology, or a related field with one (1) or more years of construction project coordination experience; civil construction experience preferred, OR 
  • Associate's degree in Construction Management, Civil Engineering Technology, or a related field with three (3) or more years of experience supporting civil construction projects, OR 
  • High School Diploma or GED with six (6) or more years of progressively responsible experience coordinating heavy civil, infrastructure, utility, environmental, or federal construction projects.
  • Preferred: 
  • Experience supporting heavy civil construction, infrastructure, utility, site development, environmental, roadway, bridge, or federal construction projects. 
  • Experience working on USACE, NAVFAC, Department of Defense, DOT, municipal, or other government-funded construction projects. 
  • Experience with project management software such as CMiC, Procore, Primavera P6, Microsoft Project, or similar systems. 
  • Familiarity with Quality Control Plans, Accident Prevention Plans, Environmental Protection Plans, and federal construction documentation.

Physical Requirements

Sedentary work in a climate-controlled environment with moderate noise levels. Most duties require the use of a computer and a phone, as well as in-person or virtual meetings. Maintain a stationary position for prolonged periods during the shift. Constant operation of computer and other office equipment such as copy machine, phone, and printer. Occasionally, transport objects up to 15 lbs. such as small parcels, packages, and other items.
