Job description

The Immigration Project Assistant will support the Immigration team in managing various projects and tasks related to immigration cases. The ideal candidate will have strong organizational skills, attention to detail, tech fluency, and the ability to work collaboratively in a dynamic environment.

The Project Assistant is a nonexempt administrative position that reports to the Office Administrator and assigned attorneys. There are no direct reports to this position. The Project Assistant will work a regular full-time in-person schedule of 7.5 hours a day, equivalent to 37.5 hours a week as determined by the Office Administrator and/or the assigned attorneys.

Key Responsibilities:

  • Assist in coordinating and managing immigration projects, ensuring all tasks are completed on time and within scope.
  • Support the preparation and filing of immigration applications and petitions, including gathering and organizing necessary documentation such as immigration status documents, employment records, and identification documents.
  • Remain current of alerts and information regarding changes to immigration laws and procedures and raise issues to attorney and paralegals where such changes impact immigration templates and information.
  • Maintain and update project databases and case management systems, ensuring all information is accurate and accessible.
  • Communicate with clients to collect information, provide updates on project status, and address any questions or concerns.
  • Assist in drafting correspondence, reports, and summaries related to immigration cases, ensuring clarity and accuracy.
  • Schedule and coordinate meetings and interviews, including preparing agendas and materials.
  • Monitor project timelines and deadlines, ensuring timely completion of tasks and alerting team members to upcoming deadlines.
  • Collaborate with team members to improve processes, enhance efficiency, and implement best practices in project management.
  • All other duties as assigned by leadership.

Qualifications:

  • Bachelor’s degree and two years of project management experience required in a related field, or the combined equivalent of education and experience.
  • Experience in immigration services is a plus.
  • Proficient in Microsoft Office Suite and project management tools.
  • Demonstrates strong organizational and multitasking skills.
  • Exhibits excellent written and verbal communication skills.
  • Works effectively both independently and within a team environment.
  • Strong attention to detail and problem-solving skills.
