Job description

Procurement Helpdesk Specialist

Candidate needs to be able to commute to Burlington, MA 3x a week.

This is a temporary position - assignment end date: End of September 2026

Job Purpose & Responsibilities

The specialist is responsible for answering inbound calls and initiating outbound calls in a timely and efficient manner and acts as liaison between field associates and store managers to ensure all maintenance jobs are completed.

Ability to liaison with field associates to prioritize

Anticipate and identify problems, and develop a plan to implement solutions

Capacity to work independently on a team

Communicate professionally with management, suppliers and associates

Complete all relevant administration duties in timely fashion

Detailed-oriented, demonstrated follow-through with a "hands on," "can do," and "Jack of all trades" positive attitude.

Ensure that products are delivered in a timely manner, and that the quality of the goods received are satisfactory

Escalates any shipping errors to management to address with appropriate parties as needed

Evaluate purchase requisitions and generate purchase orders to facilitate payment of household goods/costs

Excellent written and verbal communications skills

Experience managing multiple customers, managing multiple projects and tasks and ability to prioritize meeting deadlines

Maintain pricing in parts lists in company software for specific suppliers on a periodic basis

Manage cancellation of open purchase orders (past due PO management)

Research invoice discrepancies for adjustment or dispute with supplier

Reviews all orders for accuracy regarding agreed price, mode of shipping, and requested delivery time

Self-Motivated successfully complete and learn new task

Solid problem-solving skills and attention to detail

Solves problems in an unbiased, logical manner

Submit improvement ideas that contribute to the team's success

Support field technician's special delivery needs promptly and prioritizes properly as emergencies arise

Requirements

1. High School Diploma

2. Effective oral and written communication and customer service skills

3. Ability to multitask, prioritize and manage time effectively

4. Ability to navigate multiple system simultaneously

5. Experience in Windows 10, Microsoft Office suite and/or Microsoft teams

6. Advance knowledge of MS Office Suite Excel & Word

7. Self-Motivated and a Willingness to learn new skills
