PURPOSE STATEMENT
The Assistant Athletic Director assists the Athletic Director in providing leadership, organization, and administration of the district's middle and high school athletic programs. This position supports student-athlete success by promoting academic achievement, sportsmanship, compliance with district policies and state athletic regulations, operational excellence, and positive community relationships.
The Assistant Athletic Director serves as a collaborative leader responsible for assisting with athletic operations, event management, student eligibility, coach supervision, scheduling, safety procedures, and communication with students, families, staff, officials, and community stakeholders.
ESSENTIAL FUNCTIONS
The following duties are representative and are not intended to be all-inclusive.
  • Assist the Athletic Director in the daily administration of all middle and high school athletic programs.
  • Coordinate athletic events, contests, tournaments, practices, and facility scheduling.
  • Assist with supervising athletic events to ensure appropriate student conduct, safety, crowd management, and compliance with district policies.
  • Assist in hiring, onboarding, supervising, mentoring, and evaluating coaches.
  • Monitor student-athlete eligibility in accordance with GCSC policies, IHSAA/IMSAA regulations, and Indiana law.
  • Assist with maintaining athletic records, rosters, awards, inventories, and department documentation.
  • Coordinate transportation schedules for athletic teams and officials.
  • Assist with preparing, monitoring, and maintaining athletic department budgets.
  • Coordinate purchasing of athletic equipment, uniforms, and supplies in accordance with district purchasing procedures.
  • Assist in maintaining athletic facilities and ensuring safe playing conditions.
  • Coordinate game workers, ticket personnel, security, athletic trainers, officials, and event volunteers.
  • Ensure athletic contests are properly staffed and supervised.
  • Support the implementation of emergency action plans and athletic safety protocols.
  • Promote positive sportsmanship among student-athletes, coaches, spectators, and visitors.
  • Assist with organizing athletic banquets, recognition ceremonies, camps, clinics, and community events.
  • Support compliance with Title IX, district equity initiatives, and equal participation opportunities.
  • Collaborate with principals, counselors, teachers, transportation, facilities, school police, and district administration regarding athletic operations.
  • Assist with maintaining the athletic department website, schedules, social media announcements, and public communications.
  • Prepare reports requested by district administration.
  • Attend evening and weekend athletic events as assigned.
  • Perform other duties assigned by the Athletic Director, Principal, or Superintendent.

Under the direction of the Athletic Director:

EDUCATION AND EXPERIENCE
  • Bachelor's Degree from an accredited institution required.
  • Master's Degree in Educational Leadership, Athletic Administration, Physical Education, Sports Management, or related field preferred.
  • Valid Indiana educator license required (or ability to obtain appropriate licensure if required by assignment).
  • Minimum of three (3) years of successful coaching and/or athletic administration experience preferred.
  • Experience coordinating athletic events and supervising personnel preferred.

CERTIFICATION
  • Valid Indiana Educator License.
  • Current CPR/AED and First Aid certification (or ability to obtain upon hire).
  • Completion of IHSAA Assistant Athletic Director training and required rules clinics, if applicable.
  • Completion of all district-required compliance and safety training.

PHYSICAL DEMANDS
The physical demands described are representative of those necessary to successfully perform the essential functions of this position.
  • Frequently walk, stand, climb stairs, and move throughout indoor and outdoor athletic facilities.
  • Occasionally lift or move equipment weighing up to 50 pounds.
  • Attend athletic contests during evenings and weekends.
  • Work in varying weather conditions during outdoor events.

WORK ENVIRONMENT
The work environment includes office settings, classrooms, gymnasiums, stadiums, athletic fields, and other district facilities. Evening, weekend, and holiday work is regularly required during athletic seasons.
