Executive Assistant

Be the trusted partner behind executive leadership.

State Electric Supply Co. is seeking an accomplished, highly organized Executive Assistant to join our Corporate Office in Huntington, West Virginia.

This is more than a traditional administrative position. It is a visible, trusted role supporting our President, Chairman/CEO, and other members of the Executive Team as they lead a growing, multi-state organization.

The successful candidate will stay several steps ahead, bring order to competing priorities, communicate with confidence, and handle sensitive matters with exceptional judgment and discretion. You will help executive leadership remain organized, prepared, and focused by coordinating schedules, meetings, travel, communications, documents, and important follow-up items.

Since 1952, State Electric Supply Co. has grown into one of the nation's largest and most respected electrical distributors, with 42 locations across seven states. Our success has been built on knowledgeable employees, strong relationships, quality products, and a commitment to exceptional service.

The opportunity

As Executive Assistant, you will serve as a dependable resource and professional liaison for the Executive Team. You will work closely with senior leaders, internal departments, customers, vendors, professional advisors, and other business partners.

This position is ideal for someone who enjoys working in a professional corporate environment, takes pride in producing accurate and polished work, and understands the importance of confidentiality, responsiveness, and follow-through.

What you'll do

Executive and Administrative Support

  • Provide direct administrative and operational support to the President, Chairman/CEO, and other executive leaders.
  • Manage executive calendars, appointments, internal and external meetings, deadlines, and related scheduling needs.
  • Organize daily priorities, communications, documents, and follow-up items.
  • Ensure executives are prepared with the information and materials needed for meetings and decisions.
  • Anticipate administrative needs and identify practical solutions that help executive leaders remain focused on business priorities.
  • Handle confidential, sensitive, and time-critical matters with professionalism, discretion, and sound judgment.

Meetings, Travel, and Events

  • Coordinate executive meetings, leadership meetings, strategic-planning sessions, company events, and special projects.
  • Prepare agendas, presentations, reports, supporting documents, and other meeting materials.
  • Assist with meeting notes, minutes, action items, deadlines, and follow-up when needed.
  • Coordinate business travel, including flights, lodging, ground transportation, itineraries, meeting details, and expense reporting.
  • Respond calmly and efficiently to scheduling changes, travel disruptions, and other time-sensitive needs.

Executive Communications and Documents

  • Draft, proofread, edit, and professionally format correspondence, reports, presentations, memoranda, agendas, and other executive-level documents.
  • Screen, route, prioritize, and respond appropriately to calls, emails, mail, and other communications.
  • Serve as a professional liaison between executive leadership and employees, customers, vendors, professional advisors, and other external partners.
  • Prepare information and supporting materials for executive review, approval, or signature.

Records, Reporting, and Office Coordination

  • Maintain organized electronic and physical filing systems and safeguard confidential, sensitive, and executive-level records.
  • Support document tracking, signature routing, contracts, compliance documentation, legal correspondence, and other business records as directed.
  • Coordinate document requests and communications involving outside counsel, insurance representatives, consultants, or other professional partners when needed.
  • Conduct research, collect information, and prepare reports, summaries, or background materials to support executive decision-making.
  • Assist with expense reports, company credit card reconciliation, invoices, subscriptions, supplies, and other administrative transactions.
  • Coordinate executive-office visitors, meeting spaces, supplies, and general administrative needs.
  • Serve as a Notary Public for business-related documents when needed, or obtain and maintain certification if required.
  • Perform other duties and support special projects as assigned.

What we're looking for

The ideal candidate will be poised, dependable, resourceful, and comfortable supporting senior leaders in a fast-moving business environment.

Qualified candidates should bring:

  • At least three years of administrative, executive-assistant, or comparable professional office experience; five or more years is preferred.
  • Prior experience supporting senior leadership or C-suite executives in a corporate or similarly professional environment is strongly preferred.
  • Excellent organizational, prioritization, time-management, and multitasking abilities.
  • Strong written and verbal communication skills, including proofreading, editing, document preparation, and professional formatting.
  • Demonstrated discretion and sound judgment when handling confidential or sensitive information.
  • A high level of integrity, initiative, accountability, professionalism, and attention to detail.
  • The ability to remain composed and organized when priorities or schedules change.
  • The ability to work independently while collaborating effectively with executives, employees, and external business partners.
  • Strong follow-through and the ability to track multiple deadlines and commitments.
  • Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
  • Experience with Adobe Acrobat, document-management tools, electronic signatures, travel coordination, expense reporting, and executive communications is preferred.
  • Familiarity with contracts, corporate records, legal or compliance documents, or experience in a law firm or corporate legal environment is a plus.
  • Current Notary Public certification or a willingness to obtain certification if required.

Education and experience

  • A high school diploma or GED is required.
  • An associate or bachelor's degree in Business Administration, Office Administration, Communications, Legal Studies, or a related field is preferred.
  • A minimum of three years of relevant professional experience is required; five or more years is preferred.

We recognize that strong candidates may bring different combinations of education and professional experience. Individuals with substantial executive-support, corporate-administration, legal-office, financial-services, insurance, government, or other professional-office experience are encouraged to apply.
