The IU Museum of Archaeology and Anthropology (IUMAA) is Indiana University's newest museum. The IUMAA takes aspects of the former Mathers Museum of World Cultures and the Glenn A. Black Laboratory of Archaeology and combines them into 1 cohesive experience. With an impactful long-term vision focusing on purposeful storytelling, stewarding collections, and bringing these items to communities, the IUMAA thoughtfully houses and displays over 5 million artifacts that span across a broad range of the human experience. The IUMAA is accessible for research as well as teaching and is culturally connected to our broader community through partnerships with Indigenous communities, advisory boards, and other IUMAA community members.
Job Summary
The Business Manager for the Indiana University Museum of Archaeology and Anthropology coordinates financial activities to ensure that the program's strategic goals and objectives are met. Performs duties necessary for program operation - advising on and tracking financial activity, developing reports and budgets, and maintaining program's informational material. This position is organizationally part of the Indiana University Bloomington (IUB) Office of Finance, Administration, and Budget.
Department Specific Responsibilities:
  • Advances the academic mission of the museum by managing the financial activities and deliverables for programs related to speakers, strategic planning, visiting scholars and artists-in-residence.
  • Ensure compliance with University and IUF policies and procedures, assist in the development of departmental policies and procedures; communicate changes and expectations to Museum staff.
  • Conducts analysis, develops reports, and makes recommendations related to business operations and financial performance of the museum; prepares monthly financial statements, review transactions for accuracy and IUF compliance when applicable, highlights variances to Museum leadership.
  • Works closely with Museum leadership to identify funding needs and sources.
  • Administers program budgets and approves spending.
  • Serves as liaison to program participants, collaborators, community partners, vendors, and the public; approves purchase requests; assists w/ travel, honorariums, and research activities.
  • Develop and oversee processes related to the recruitment, selection, and onboarding of part-time, student and volunteer staff.
  • Manages relationships with IU Purchasing and vendors, approving expenditures in BUY.IU.
  • Tracks, reconciles, and manages the museum's use of procurement cards.
General Responsibilities
  • Applies knowledge to accepted procedures and standards, performs financial and administrative tasks related to managing the daily and long-term financial and/or administrative operations of an organizational unit or an academic, research, and teaching department within a school or college.
  • Makes recommendations on policies and guidelines for division/department activities.
  • Monitors expenditures and statement of accounts to ensure regulatory compliance and fiscal integrity.
  • Manages general appropriation, endowment, federal and non-federal grants and contracts, and gift funds.
  • Develops, plans, and makes recommendations on special projects, which may include space allocations, staffing, equipment purchases, and long-range plans.
  • Prepares operating and project budget drafts independently and/or in coordination with other finance staff. Regularly explains financial concepts to non-financial employees.
  • Monitors division/departmental budgets and resolves or recommends resolutions for any significant deviations from approved budgets.
