Job description

We are seeking a skilled and motivated CMMS Data Entry Clerkto join our team based in London, ON on a 3-month contract. This position is responsible for accurately entering and migrating maintenance data into the Company's new Computerized Maintenance Management System (CMMS), eMaint. The CMMS Data Entry Clerk transfers spare parts records, preventive maintenance (PM) schedules, and equipment work history from legacy systems, source files, and paper records into the new CMMS, ensuring that all data is complete, standardized, accurate, and free of duplicates. This role requires strong attention to detail, disciplined and consistent data entry, and the ability to validate and reconcile records against source data. Technical knowledge of maintenance equipment, spare parts, or CMMS platforms is a plus. The job duties include responsibility for assuring food safety and food quality for Dessert Holdings, and for the accuracy, traceability, and integrity of all maintenance data entered into the CMMS.

KEY RESPONSIBILITIES:

  • Enter and migrate spare parts records, preventive maintenance (PM) schedules, and equipment work history from legacy systems and source documents into the new CMMS (eMaint).
  • Accurately transcribe data from source files (legacy CMMS exports, spreadsheets, datasheets, work orders, and paper records) into the correct CMMS fields.
  • Search the new CMMS before creating any record to prevent duplicate part numbers, asset IDs, or PM tasks.
  • Create new part records with complete, standardized descriptions following the Company's naming and description conventions, and submit them to the Maintenance Planner and Manager for verification and approval.
  • Enter equipment hierarchies, asset IDs, and bin/location codes using the standard coding format
  • Build and enter PM schedules, frequencies, task lists, and associated parts and labor into the new CMMS.
  • Import and enter historical work orders and maintenance history, preserving dates, costs, parts used, and references.
  • Validate and reconcile migrated records against source data, and correct discrepancies before sign-off.
  • Flag missing, incomplete, or unclear source data and route it to the Maintenance Planner and Manager for clarification.
  • Maintain data-entry logs tracking records migrated, pending, and validated, and report progress regularly to the Maintenance Manager.
  • Perform quality checks and audits on entered data to ensure accuracy, completeness, and consistency.
  • Meet established data-entry accuracy and throughput targets for the migration project.
  • Maintain the confidentiality and integrity of all company and maintenance data.
  • Comply with all food safety and quality systems (SQF, HACCP, and GMP) and safety rules, and perform other duties as assigned by the supervisor.
QUALIFICATIONS AND REQUIREMENTS:
  • Fast and accurate data-entry skills with a high standard for data accuracy and traceability.
  • Proficiency with a CMMS (eMaint preferred) for record creation, data entry, and reporting.
  • Strong Microsoft Excel skills (sorting, filtering, lookups, and working with large data sets) and general MS Office and PC proficiency.
  • Ability to read and interpret purchase orders, packing slips, datasheets, invoices, and vendor catalogs to identify parts and verify data.
  • Knowledge of standardized part-naming and description attributes for MRO items (motors, bearings, belts, fasteners, seals, lubricants, and electrical/electronic components) is a plus.
  • Understanding of equipment hierarchies, asset numbering, and bin-location coding (AISLE-BAY-SHELF-BIN).
  • Ability to follow standardized data formats and coding conventions consistently and to keep records matched exactly to source data.
  • Strong attention to detail and the ability to manage and prioritize a high volume of records.
  • Basic math skills for quantity verification and data validation.
  • Familiarity with preventive maintenance (PM) concepts and Work Order based maintenance records is a plus.
  • Familiarity with ERP/purchasing systems (Microsoft Dynamics 365 / D365) is an advantage.
  • Technical knowledge of maintenance equipment or spare parts is a plus.
  • Ability to work independently with minimal supervision and to meet project deadlines.
  • Ability to operate in the workplace in a safe and effective manner and to adhere to all environmental, health, and safety rules and regulations.

REQUIRED

  • High school diploma or equivalent; relevant technical, data, or inventory coursework is a plus.
  • Proficiency in Microsoft Excel and MS Office.
  • Must be able to read, write, and speak English; ability to read, write, and speak both English and Spanish preferred.
  • Must be able to successfully complete HACCP Certification.

PREFERRED

  • Data-migration or system-implementation project experience.
  • Hands-on experience with eMaint and Microsoft Dynamics 365 (D365).
  • Experience in a food manufacturing or GMP-regulated environment.
  • Knowledge of MRO spare parts across mechanical, electrical, and consumable categories.
  • Good verbal, written, and mathematical skills, with the ability to deal tactfully and courteously with co-workers, other departments, and vendors.

  • Monday - Friday 6:00 am - 2:30 pm
