Advertised Job Summary - Records Office Specialist University of South Carolina Upstate TMP00921PO26 Spartanburg, SC The Records Office Specialist will support data management, data entry, student records and veterans.

Academic Scheduling & Registration Management: Assist the Schedule Coordinator with the development (data entry) of the undergraduate and graduate course schedules across all USC Upstate academic sites. Enter change of major and minor requests in banner.

Veteran Benefits Certification & Compliance: Assist the Veterans Coordinator with managing enrollment records and integrating digital records for audits and monitoring regulatory changes. Manage beneficiaries' course schedule changes (add, drops/withdrawals, course modality changes). Run concise student schedules and related VA weekly reports. Complete required training: Certify veteran and military‑affiliated students for federal VA tuition benefits.

Special Enrollment & Academic Contract Processing: Create and register students for independent studies, internships/field studies, one‑time courses, and non‑scheduled sections. Assist with Citizenship verifications processing. Assist with registration for dual enrollment, Scholars Academy, and Teacher Cadets.

Records Integrity, Data Management & Compliance Support: Maintain accurate communications and student records in compliance with FERPA, USC System, state, and federal guidelines. Provide communications support to students, faculty, and administrator inquiries. Assist with transcript/verification/record services as needed. Check and reply to records office email account. Other duties as assigned by supervisor.

Qualifications - Minimum Qualifications: High school diploma or GED with two years experience or bachelor's degree. A successful background check is required.

Preferred Qualifications: Work experience in higher education or school setting. Banner experience.

Knowledge/Skills/Abilities: Ability to appropriately apply FERPA, USC System, state, and federal guidelines. Concurrent tasks, reading, typing, decisions making, data entry, handle confidential information. Proficient in use of technology such as Word and Microsoft Outlook and Banner.
