Job Description
Responsible for accurately entering and maintaining student data within the PowerSchool student information system. This position plays a crucial role in ensuring the integrity and reliability of student records, attendance, grades, and other essential information. The Data Entry Clerk will work closely with school administrators, teachers, and staff to ensure data is up-to-date and compliant with district and state reporting requirements.
Essential Duties and Responsibilities
Complies with the state approved Code of Ethics of the Education Profession and upholds and enforces department/unit procedures, administrative directives and state statutes concerning the confidentiality of all staff information.
All functions are performed in accordance with established policies, procedures, safety and computer security regulations.
Accurately input and update student records, including enrollment, attendance, grades, discipline, and demographic information into PowerSchool.
Verify and correct any discrepancies in data to ensure accuracy and completeness.
Ensure all data is maintained in compliance with district policies, state regulations, and confidentiality guidelines.
Archive and retrieve student records as needed for internal or external audits and reporting.
Generate routine reports, including attendance, enrollment, and academic performance data.
Prepares data for computer entry by compiling and sorting information; establishing entry priorities.
Processes documents by reviewing data for deficiencies, resolving discrepancies by using standard procedures or returning incomplete documents to the principal for resolution.
Identify and resolve data inconsistencies or errors in reports.
Provide support to school staff in using PowerSchool effectively.
Communicate effectively with teachers, administrators, and parents regarding student data when necessary.
Prepares and sorts source documents, and identifies and interprets data to be entered.
Verifies entered data by reviewing, correcting, deleting, or reentering data; purging files to eliminate duplication of data.
Compares data entered with source documents, or reenters data in verification format on screen to detect errors.
Maintains confidentiality with all documents data entered.
Performs other duties as assigned.

This job has no supervisory responsibilities.
Qualifications
EDUCATION and/or EXPERIENCE
  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Minimum of 1 year of experience using Microsoft Excel/Google Sheets for data entry and analysis.
  • Bilingual (Spanish/English) Preferred
