About the Role

We are a well-established commercial construction company with over 50 years of success. We are seeking a highly organized and detail-oriented person to fill our newly created Construction Contract Administrator role to support our project management team. This role is responsible for contract and project documentation, compliance management, work order processing, and supporting the project management team.

While we have our preferred qualifications, this position requires someone who is detail-driven, process-minded, and takes ownership of their responsibilities. You should feel confident asking clarifying questions, improving systems, and ensuring compliance at every step. We will teach you the nuances of construction if you excel at those.


Primary Responsibilities

Contract, Financial & Compliance Administration

  • Prepare, issue, and manage purchase orders and subcontracts with project managers.
  • Verify that all contracts, Purchase Orders, and amendments reflect correct scope, pricing, terms, and approvals.
  • Collect and review compliance documents, including COIs, W9s, bonds, and lien waivers.
  • Serve as an internal checkpoint to reduce contractual and financial risk.

Project Portfolio Support

  • Support PM leadership with project level and portfolio level reporting on project KPIs.
  • Ensure leads, estimates, and jobs have appropriate data in the system.
  • Confirm proper execution of project buyouts and change orders.
  • Support PMs, estimating, and marketing with RFQs and bid packages as needed.
  • Support project managers with compliance, contract administration, and financial documentation.
  • Participate in project kickoff and closeout meetings as required.

Work Order Administration

  • Administer the full lifecycle of work orders for small projects and service work: intake, documentation, pricing support, tracking, and closeout.
  • Maintain work order logs and coordinate with PMs, Field Crews, and billing on timely completion and invoicing.
  • Support superintendents and field crews with administrative tasks related to jobs, work orders, and daily work assignments.
