Job description

Position Summary

The Project Coordinator supports the planning, coordination, and execution of county initiatives, capital projects, grants, and operational programs. Working under the direction of the County Administrator, this position ensures projects are organized, compliant, and completed on time and within scope and budget.

The role serves as a central liaison between county departments, elected officials, vendors, community stakeholders, and regulatory agencies.

Primary Responsibilities

  • Coordinate project plans, timelines, and deliverables
  • Maintain documentation and public records
  • Facilitate communication across stakeholders
  • Monitor budgets, compliance, and reporting requirements
  • Support grant administration and procurement processes
  • Assist leadership with project tracking and execution

Knowledge, Skills, and Abilities (KSAs)

  • Knowledge of project coordination, public administration, and compliance
  • Strong organizational, communication, and analytical skills
  • Ability to manage multiple priorities and maintain accuracy
  • Ability to interpret regulations and work with diverse stakeholders

Minimum Qualifications

  • Associate's degree in Public Administration, Business Administration, Project Management, Construction Management, or a related field (Relevant experience may substitute for education on a year-for-year basis)
  • Minimum of 2 years of experience in project coordination, administrative support, government operations, or related field
  • Basic knowledge of project tracking, budgeting, and reporting processes
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Valid driver's license with ability to travel locally within the county as needed
  • Ability to pass background check in accordance with county employment policies

Preferred Qualifications

  • Bachelor's degree in Public Administration, Business Administration, Engineering, Planning, or related field
  • 3-5+ years of experience in project coordination, preferably in a government, infrastructure, or grant-funded environment
  • Experience with grant administration, including federal or state funding (e.g., ARPA, CDBG, FEMA, or similar programs)
  • Familiarity with public procurement processes and contract administration
  • Experience working with engineers, contractors, or capital improvement projects
  • Knowledge of applicable West Virginia state regulations and local government operations
  • Certification or training in project management (e.g., CAPM, PMP, or equivalent)
  • Experience with project management or tracking software (e.g., MS Project, Smartsheet, or similar tools)

Environmental & Anatomical (Physical) Demands 

  • Primarily office-based with occasional field/site visits
  • Sedentary work with frequent computer use
  • Occasional standing, walking, and light lifting (~20 lbs)
  • Frequent communication with internal and external stakeholders

  • Eligible employees will be eligible for all County provided benefits per those requirements.    
  • Compensation will be commensurate upon experience level that is within budget, but this position has an initial pay range of $45,000 to 60,000.
