Description
Pre-Award Management:
• Identify funding sources and review proposal solicitations for special requirements.
• Assist staff with proposal writing, grant application formatting, and compiling necessary documentation.
• Develop, review, and adjust project budgets and justifications to ensure alignment with sponsor guidelines.
Post-Award Administration:
• Monitors budget expenditures for grant compliance and contract compliance; reporting requirements, forms, and due dates.
• Prepare required quarterly, monthly and annual financial reports.
• Track project expenditures, perform accounts-receivable monitoring, and oversee overdrafts.
• Ensure all spending strictly complies with institutional policies and regulatory requirements.
• Prepares financial reports, invoices, and payment requests.
• Comply with federal standards under CFR for state and federal grant administration.
• Prepares/submit requests for grant reimbursements.
• Assist the Finance Director in preparing comprehensive financial grant reports for various uses, including the preparation of monthly tribal financial statements.
• Assist auditors as needed.
• Performs all other job-related duties as assigned by the Finance Director.
Compliance and Reporting:
• Maintain accurate and complete grant files and contract files, perform grant-related special projects and audits.
• Coordinate contract review with legal counsel and program staff as appropriate. Process contract modifications, amendments, and renewals.
• Ensure the timely closeout of awards by coordinating with Principal Investigators (PIs) to confirm all deliverables are met.
• Maintain comprehensive grant databases, ensuring data accuracy and consistency.
• Provide guidance to internal departments regarding grant policies and procedures.
• Reviews technical reports.
• Track reporting deadlines for all assigned grants and ensure timely submission of required reports.
Grant Modifications & Amendments:
• Process grant modification requests including budget amendments, scope changes, and no-cost extensions.
• Review modification requests for compliance with grant terms and federal regulations.
• Prepare amendment documentation and obtain required approvals.
• Update grant records and systems to reflect approved modifications.
Requirements
KNOWLEDGE, SKILLS, AND ABILITIES
• Ability to develop and maintain a multi-fund total accounting system of records, reporting, audit trails, and reconciliation.
• Familiarity with government funding regulations and compliance guidelines.
• Exceptional persuasive writing skills for proposals and strong interpersonal skills for liaising with stakeholders and funders.
• Proficiency in Microsoft Office Suite (especially Excel), SAGE INTACT, and project management software.
QUALIFICATIONS
• Must be able to undergo and pass a DPS/FBI fingerprint background investigation
• Knowledge of federal procurement standards under 2 CFR Part 200.
EDUCATION AND/OR EXPERIENCE
• A Bachelor's degree in Business Administration, Public Administration, or a closely related field.
• 3+ years of professional experience in grants administration, project management, or contract negotiation.
• 3+ Experience with federal grant programs and federal procurement requirements (2 CFR Part 200) strongly preferred
